Position Overview
We are currently seeking a highly organized and proactive Operations Manager to ensure the efficient daily functioning of arenaflex's physical office space and facilities, as well as our hybrid workspace operations. This is a critical role that directly impacts our ability to serve Oregon's community health centers and the patients they serve.
The Operations Manager is responsible for advancing operational capabilities, including the development, implementation, and execution of operational plans, emergency preparedness plans, and project management initiatives. This position manages the IT infrastructure system and implementation while ensuring compliance and procurement adherence. You will work closely with the Associate Director and the HR Senior Manager as part of the Operations team to manage, maintain, and refine internal system functionalities including organizational goal achievement, comprehensive information technology (IT), internal operations projects, and overall office management.
What You'll Do
As an Operations Manager at arenaflex, your days will be dynamic and multifaceted. Here's what you can expect:
Daily Office Operations
- Lead and run the daily functions of the office including, but not limited to: monitoring and checking emails on arenaflex phones, welcoming visitors, opening and distributing mail, processing office requisitions, preparing bank deposits, arranging weekly bank trips to deliver deposits, ensuring checks are packaged and delivered as quickly as possible
- Manage comprehensive maintenance, upgrades, and space planning to ensure optimal effectiveness of the office
- Serve as the primary contact for all office and building matters including, but not limited to: maintenance issues, audits, backup systems, procurement and inventory of equipment, furniture, office supplies, computers, and other technology
IT Infrastructure & Systems Management
- Serve as primary manager for all common systems, including shared contacts, distribution records, cloud-based platforms like Monday.com, Adobe, arenaflex Business, VoIP, Keeper Security, HR Information System, Zoom, and all associated written policies
- Manage IT needs of the organization including, but not limited to: troubleshooting and communication with IT vendor for network support; ensuring IT meets industry standards; manage hardware and software needs, including installation; evaluate technology initiatives according to established goals; establish IT policies and systems; work collaboratively with management and staff to ensure an efficiently functioning, forward-thinking technical workplace; analyze the business requirements, as appropriate, to determine technology needs; assist with planning future upgrades
Employee Onboarding & Training
- Provide operations direction for all new employees, including employee introductions, office tour, technology onboarding, sharing of systems and practices, and a review of arenaflex's office operations to support a welcoming onboarding process
Event & Program Support
- Work with and provide logistical support for internal staff events including the monthly arenaflex Team meeting and weekly standup
- Provide backup technical and logistical support for external events, conferences, and webinars as needed
Compliance & Risk Management
- Ensure the confidentiality of proprietary information both internally and externally
- Work in partnership with the Associate Director on arenaflex's risk management and compliance

- Advanced IT, HRIS, and database knowledge – Strong computer skills, including proficiency with O365 Organization, Teams, SharePoint, and MS Outlook, Word, Excel, PowerPoint, etc.
- Team player who functions well in a professional yet fun team environment, including respect for different styles and personalities, enthusiasm for collaboration, communication, and celebration
- Experience in change management (strategic planning, execution, communication)
- Discretion and sensitivity to maintaining confidences, as appropriate
- Excellent written and oral communication skills, both informal and formal communications, including listening, speaking, writing, and facilitation of discussions where different opinions exist. Clear and concise communication
Education & Experience Requirements
- Proficient with moderate level of capability. Generally requires a Bachelor's degree plus up to three years' experience or equivalent education
- Familiarity with written and spoken English required
Preferred Qualifications & Experience
- Office management experience
- Experience with change management, new software deployment and systems development, implementation, and maintenance
- Experience managing a small business (25-35 staff) IT environment
- Formal project management training
