Robins Kaplan LLP is a law firm seeking an Administrative Assistant in their Minneapolis office. The role involves providing administrative support to firm professionals, requiring professionalism, confidentiality, and strong organizational skills.


Responsibilities

  • Handles numerous assignments and requests simultaneously
  • Prepares memoranda, correspondence, and other documents
  • Proofreads materials for accuracy and completeness
  • Maintains supervisors’ calendars; provides reminders as needed
  • Processes expense requests, submits reimbursements
  • Manages team travel reservations and prepares itineraries
  • Tracks receipt of incoming/outgoing materials; scans and files accordingly
  • Stores documents correctly in document management and file systems
  • Coordinates meeting logistics, including attendee notifications, pre-/post-meeting correspondence, room set-up, and other needs as requested
  • Monitors and manages phone, mail, and e-mail communications; prioritizes and responds appropriately
  • Gathers, prepares, and distributes/mails materials
  • Coordinates work with support departments to ensure high quality, service-oriented results
  • Submits membership/registration fees; tracks submissions
  • Maintains business and client contact information
  • Provides assistance to colleagues
  • Performs all other projects as assigned
