Key Responsibilities
As a Staff Assistant at arenaflex, your responsibilities will span multiple areas of administrative support. Here's what you can expect to do:
- Coordinate Management Presentations and Special Projects: Provide assistance in preparing executive presentations and special initiatives as required, ensuring all materials are polished and professional.
- Invoice Management: Control, review, and monitor all local requests through InvoiceWorks, processing and distributing invoices as needed with meticulous attention to detail.
- Technology Support: Investigate and escalate office technology issues, including telephone systems and copier machines, working with IT teams to resolve problems quickly.
- Onboarding Coordination: Track and ensure employees complete onboarding obligations, including appropriate system access, assignment of lockers, mailboxes, uniforms, badges, fingerprinting, training, and more.
- Event Planning and Execution: Assist in station event planning, coordination, and execution, including team celebrations, lunch meetings, holiday parties, and recognition events.
- Payroll Processing: Handle payroll processing in Workbrain for management and flight crew staff, ensuring accuracy and timeliness.
- Communication Management: Process deprivation letters and organize local communications and responses.
- Employee Facilities: Manage employee parking, including permits and assignments, as required.
- Timekeeping Support: Assist with timekeeping functions, including data entry, data verification, reconciliation, and reporting.
- Record Maintenance: Maintain employee records as needed, ensuring confidentiality and accuracy.
- Meeting Coordination: Maintain station meeting schedules, including monthly emergency response meetings.
- Reporting: Access and manage various periodic reports, including performance, audit, cost, employee engagement, and recognition reports.
- Documentation: Update required manuals and file and maintain all security-related items.
- Backup Functions: Act as backup for other payroll functions as needed.
- Compliance Management: Manage records for OSHA, safety, and related documentation (301 forms, weekly and annual reports).
- Budget Support: Assist with budget preparation and reconciliation, including monthly closeout of landing fees.
- Audit Support: Support auditing activities as required.
- Incentive Tracking: Track and verify incentive funds earned by team members.
- Vendor Liaison: Liaise with CRE/Facilities and vendors to track local projects as needed.
- Team Collaboration: Lead/work with other support staff as needed to ensure seamless operations.
- Other Duties: Perform various other duties as required to support our station operations.
Essential Qualifications
To be successful in this role, you'll need to meet the following minimum requirements:
- Education: Bachelor's degree from an accredited institution
- Experience: Previous office or administrative experience is required
- Technical Skills: Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Knowledge: Understanding of company policies, procedures, and corporate structure
- Organizational Skills: Ability to prioritize work, be detail-oriented, and meet deadlines consistently
- Multitasking: Capability to function in a fast-paced environment while handling multiple tasks simultaneously
- Self-Motivation: Strong self-motivation with excellent interpersonal skills
- Technical Aptitude: Ability to understand concepts and functionality of specific software and programs
