Job Summary: Make a Difference Every Day
As a Customer Service Representative at arenaflex, you will be the voice of our organization—interacting directly with insurance agents, policyholders, and other stakeholders via telephone. Your primary responsibility is to provide prompt, courteous, and accurate customer service that meets or exceeds our rigorous service standards.

Primary Responsibilities

- Handle Incoming Calls: Answer incoming Medicare Supplement calls in accordance with quality standards. Provide agents and insureds with accurate information regarding policy status, coverage details, and any questions they may have. Your goal is to resolve their concerns efficiently while delivering a positive experience.
- Place Outgoing Calls: Initiate outbound calls to provide or obtain information as needed. This may include following up on pending applications, gathering additional documentation, or communicating important policy updates.
- Document Interactions: Utilize our online documentation program to record all calls in real-time. Maintain comprehensive and accurate records that reflect the nature of each interaction, actions taken, and any follow-up required.
- Handle Call Transfers: Appropriately transfer or refer misdirected calls to the correct individual, department, or external offices. Use approved transfer and referral techniques to ensure seamless customer experiences.
- Process Customer Requests: Execute customer requests using both internal procedures and client-mandated guidelines. Ensure accuracy and timeliness in all processing activities.
- Produce Correspondence: Draft and send correspondence to customers using approved letter templates. Ensure all communications are clear, professional, and aligned with company standards.
- Maintain Policy Files: Fully document policy files or image systems with all related materials. Create clear and concise audit trails that support compliance and regulatory requirements.
- Process Transactions: Efficiently handle bank changes, cancellations (NR), death notifications (NR), address changes, and ID card requests. Ensure all changes are processed accurately and in a timely manner.
- Collaborate with Team: Communicate openly with your supervisor and team members to ensure accurate responses, avoid duplication of efforts, and maintain consistent service quality across the team.
Essential Skills & Requirements
To succeed in this role, you must possess a combination of technical knowledge, interpersonal skills, and personal attributes that enable you to deliver exceptional service. The following are required for consideration:
- Education: High school diploma or GED equivalent required.
- Experience: Up to 2 years of proven customer support experience. Prior experience in the insurance industry is preferred but not required—we are willing to train the right candidate.
