About the Position: Customer Chat Support Specialist

As a Customer Chat Support Specialist at arenaflex, you will play a pivotal role in our mission to support veterinary professionals who depend on our platform for their critical purchasing decisions and daily operational needs. You will be the friendly voice and knowledgeable resource that our community of passionate veterinary professionals encounters when they need assistance – making your role essential to their success and to the animals they care for.

Our support team works collaboratively to deliver an exceptional experience for every user through multiple channels including live chat, phone calls, emails, internal discussion boards, and interactive platform demonstrations. This role offers an exciting opportunity to be at the forefront of customer success in a fast-paced, technology-driven environment where every interaction makes a difference.

What You'll Do


  • Responsive User Support: Handle incoming inquiries from veterinary professionals via live chat, email, and phone with promptness, accuracy, and a customer-first attitude. Ensure every interaction leaves users feeling valued and supported.

  • Technical Troubleshooting: Diagnose and resolve platform-related issues quickly and effectively. Communicate solutions in clear, digestible terms that empower users to overcome challenges independently.

  • Administrative Excellence: Manage daily and weekly administrative responsibilities including proactive account management, item issue reporting, product review processes, credit approvals, and order documentation.

  • Cross-Functional Collaboration: Work closely with our engineering, partner, and corporate teams to communicate feature requests, provide feedback on user needs, and recommend enhancements that improve the platform experience.

  • Vendor Partnership: Collaborate with vendor and industry partners to streamline communications, optimize alert systems between platforms, and ensure seamless operational workflows.

  • Process Improvement: Contribute to the continuous development and refinement of support processes and workflows, identifying opportunities to enhance efficiency and user satisfaction.

  • Platform Demos: Conduct interactive demonstrations of the arenaflex platform to new users, showcasing features and helping them get started with confidence.

What We're Looking For

Essential Qualifications


  • Customer-Facing Experience: Minimum of one year in a relevant customer-facing role where you developed strong interpersonal and problem-solving skills.

  • Educational Background: Two-year Associate's degree or four-year Bachelor's degree from an accredited institution.

  • Communication Excellence: Exceptional written and verbal communication skills with the ability to explain complex concepts clearly and professionally to diverse audiences.

  • Adaptability: Ability to thrive in a fast-paced environment and manage multiple concurrent responsibilities with grace and efficiency.

  • Customer-Centric Mindset: Genuine patience and compassion when handling difficult situations or frustrated users, with a constant drive to help customers succeed.

  • Positive Team Player: A "one-for-all" team mentality with excellent collaboration skills and a positive, proactive attitude.

  • Tech Proficiency: Comfortable learning new technologies quickly; experience with chat support platforms (particularly Intercom) is strongly preferred.

  • Experience in chat support or customer success roles within eCommerce or SaaS environments
