Winston & Strawn LLP is a leading global law firm committed to excellence and professional growth. They are seeking a temporary Professional Development Assistant to provide administrative and logistical support to the Professional Development team, ensuring programs run smoothly and efficiently.
Responsibilities
- Prepare and organize presentation materials, including updating decks and speaker notes from programs delivered throughout the year
- Provide administrative and logistical support for Professional Development programs, including scheduling meetings, booking rooms and Audio Visual support, managing Zoom sessions, and tracking attendance
- Maintain and organize program materials and shared resources, ensuring files are current, clearly labeled, and properly archived
- Draft, manage, and maintain standardized template communications for PD programs, including save-the-date emails, presenter outreach, scheduling messages, confirmations, and follow-ups
- Manage invitations, distribution lists, and coordination with internal PD team members to ensure materials, schedules, and technology are prepared in advance of programs
- Support wellness, CLE, and assessment initiatives, including attendance tracking, materials preparation, post-event follow-ups, and coordination of recordings
- Create and maintain sign-up schedules, scheduling trackers, and calendar reconciliations across PD-related calendars, escalating conflicts as needed
- Assist with Teams and iManage file organization, backups, and folder maintenance, including identifying duplicate or outdated materials
- Provide administrative and financial support, including expense submissions, invoice tracking, documentation of completed tasks, and general support during peak programming periods
Skills
- Bachelor's degree required or expected by May
- Previous administrative experience required
- Must live within a commutable distance to the firm office with the ability to come into the office 3-4 days per week
- Interest in professional development, training, wellness, or administrative work
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams
- Strong written and verbal communication skills
- Ability to manage multiple tasks and meet deadlines
