**Position Overview**
We're seeking a highly organized and customer-oriented individual to join our team as a Remote/Office Client/Customer Scheduler. This role will be responsible for scheduling appointments for our clients and managing the scheduling process to ensure a seamless and positive experience for our patients. As a key member of our team, you'll play a critical role in ensuring that our clients receive the best possible care and support.
**Key Responsibilities**
• Interact with clients and assess their scheduling needs via phone, email, or online chat, providing exceptional customer service and empathy in all interactions
• Manage and maintain appointment schedules for therapists, psychiatrists, and other mental health professionals, ensuring accuracy and completeness of all client information and scheduling details
• Coordinate with the clinic and telehealth specialists to ensure timely and efficient scheduling of appointments, minimizing delays and cancellations
• Handle any rescheduling or cancellations and communicate updates to all parties involved, maintaining a high level of professionalism and attention to detail
• Respond to client inquiries and concerns regarding appointments, providing clear and concise information and resolving issues promptly
• Collaborate with our team to develop and implement scheduling procedures and protocols, ensuring consistency and efficiency in our scheduling processes
• Generate and maintain reports related to scheduling and appointment data, providing valuable insights and analytics to inform our business decisions
**Qualifications**
• High School diploma or equivalent, Bachelor's degree preferred
• Minimum of 2 years of experience in a customer service or scheduling role, with a proven track record of delivering exceptional customer service and meeting scheduling targets
• Strong verbal and written communication skills, with the ability to communicate effectively with clients, colleagues, and external partners
• Proficient in using scheduling software and web-based applications, with experience in telehealth platforms and electronic health records (EHRs)
• Ability to stay organized, prioritize tasks, and work efficiently in a fast-paced environment, with a high level of adaptability and flexibility
• Empathy, patience, and exceptional customer service skills, with a passion for helping others and making a positive impact in the lives of our clients
• Knowledge of behavioral health terminology and scheduling processes is a plus, with a willingness to learn and develop your skills and expertise in this area
