About the Role: Special Needs Family Care Advisor
As a Special Needs Family Care Advisor at arenaflex, you will become a trusted ally for families navigating complex healthcare landscapes. This is not your typical customer service position – it's a calling for those who are called to serve others during their most vulnerable moments. You will be empowered to deliver extraordinary experiences to family members who need an advocate, a guide, and a compassionate partner throughout their healthcare journey.
Our Family Engagement Center is the heart of our special needs support program, and you will be an integral part of this dedicated team. In this role, you will serve as an ongoing resource, providing guidance and connecting families with valuable community resources during critical transition times. Your ability to build lasting relationships and deliver consistent, compassionate support will be the cornerstone of your success.
Key Responsibilities
Your primary focus will be providing holistic family support to members who may have special needs themselves or may be caring for children or family members with special needs. You will own end-to-end resolution of issues, ensuring that each family receives comprehensive assistance throughout their journey with arenaflex.
- Comprehensive Family Support: Serve as the primary point of contact for families, managing end-to-end resolution of healthcare-related issues, including complex benefits navigation, claim and billing problems, prior authorizations, appeals processes, and more.
- Multi-Channel Communication: Engage with members primarily through phone interactions, while also utilizing email, chat, and text messaging to provide flexible, accessible support that meets families where they are.
- Relationship Building: Create and nurture ongoing relationships with members, teammates, and external partners. Your ability to connect authentically will be essential in establishing trust and delivering memorable, positive experiences.
- Independent Decision-Making: Exercise sound judgment and critical thinking to solve problems creatively and completely. You will make decisions independently while maintaining accountability for outcomes.
- Commitment Delivery: Consistently follow through on commitments and frame realistic expectations for members, ensuring transparency and reliability in every interaction.
- Work Management: Plan, prioritize, organize, and complete work to meet established objectives. Manage project time effectively to ensure follow-up and outreach work is completed in a timely manner.
- Diverse Family Support: Serve families with a range of needs – from low to moderate to high complexity – as determined by clinical requirements, financial impacts, and escalation levels.
- Proactive Outreach: Conduct outreach calls to initiate contact with members referred by executives and partners, demonstrating initiative and dedication to family engagement.
- Documentation Accuracy: Maintain precise family counts and detailed records on our documentation platform, ensuring data integrity and continuity of care.
- Team Collaboration: Focus on teamwork and foster a strong team environment through mentoring, acting as a resource for colleagues, and contributing to a positive workplace culture.
- Proactive Problem-Anticipation: Anticipate member needs and proactively seek out external and internal resources or partners where appropriate to add unexpected value for members.
- Appropriate Referrals: Determine appropriate referrals to other programs and services as needed, with or without technology guidance.
- Quality Assurance: Maintain responsibility for providing high-quality member experiences as reflected in post-contact surveys and member feedback.

Required Qualifications
- High School Diploma / GED OR equivalent work experience
- Minimum of 1+ years of experience helping, resolving, or advocating on behalf of members or customers
- Proficiency with computer systems and Microsoft Office suite, including Microsoft Word (creating correspondence and working within templates), Microsoft Excel (ability to sort, filter, and create simple spreadsheets), and Microsoft Outlook (email and calendar management)
- Ability to work 40 hours per week, Monday through Friday, from 9:45am – 6:15pm CST, within our Family Engagement Center
- Willingness to work occasional overtime as business needs require
- Must be 18 years of age or older
Preferred Qualifications
- 1+ years of A4Me experience OR 3+ months of Quick Assist experience
- Claims processing experience
- Experience providing care for children with special needs
- Experience within a member-focused healthcare environment
- Experience within a service delivery capacity (examples include, but are not limited to: social services, caregivers, hospitality, social work, sales, non-profit agencies)

We invest heavily in your success through comprehensive training and ongoing development. Our 18-week paid training program equips you with the knowledge and skills needed to excel in your role, starting with foundational concepts and progressing to advanced scenario management. The training hours are 8am-4:30pm CST, with a gradual transition to the regular schedule of 9:45am – 6:15pm CST during the final four weeks.
Compensation and Benefits
We recognize that our team members are our greatest asset, and we're committed to rewarding your dedication and performance. The hourly range for this position is $18.80 - $36.78 per hour, with pay based on several factors including but not limited to education, work experience, and certifications.

Telecommuting Requirements
As a telecommuter with arenaflex, you'll have the flexibility to work from your home office. To ensure success in this arrangement, you must:
- Ability to keep all company sensitive documents secure
- Required to have a dedicated work area established that is separated from other living areas and provides information privacy
- Must live in a location that can receive an approved high-speed internet connection or leverage an existing high-speed internet service
- Ability to maintain a professional home office environment conducive to focused work
