Position Overview


As a Trip Assignment Specialist at arenaflex, you will play a pivotal role in our evening operations, working the night shift from 11:30 PM to 8:00 AM Pacific Time, Monday through Friday. This position offers the flexibility of working remotely from home while contributing to a mission-driven organization that transforms lives through reliable medical transportation coordination.

The primary responsibility of this role is to efficiently assign trips to our network of dispatchers and Care Partners using our proprietary Health-E Rides system. On an average night, you will manage approximately 700 to 900 trips, requiring exceptional multitasking abilities, sharp attention to detail, and the capacity to make swift, informed decisions under pressure. Beyond trip assignment, you will serve as a frontline point of contact for members calling in during evening hours, providing compassionate assistance and coordinating trips in real-time as requests come in.

Key Responsibilities


Your daily responsibilities as a Trip Assignment Specialist at arenaflex will encompass a wide range of operational tasks designed to ensure seamless transportation coordination. These include:


  • Trip Assignment and Distribution: Systematically assign trips to dispatchers within the Health-E Rides platform, managing a substantial volume of 700-900 trips per night while maintaining accuracy and efficiency.

  • Schedule Management: Construct and maintain daily schedules for dispatchers, carefully accounting for scheduled breaks, lunch periods, and shift rotations to ensure optimal coverage throughout the night.

  • Language-Based Routing: Evaluate dispatcher eligibility for specific trips based on the language capabilities required by members, ensuring effective communication and culturally competent service delivery.

  • Trip Optimization: Strategically stack and consolidate trips to contracted Care Partners to maximize efficiency, reduce wait times, and optimize resource utilization across our transportation network.

  • Inbound Call Management: Professionally answer incoming calls from members during evening hours, addressing inquiries, providing status updates, and offering compassionate assistance with patience and empathy.

  • Real-Time Trip Coordination: Dynamically coordinate evening trips as they arrive, making instant decisions about routing, timing, and dispatcher allocation to maintain service quality.

  • Care Partner Support: Assist with various Care Partner-related administrative functions, including payment processing, issue resolution, and documentation management to ensure smooth financial operations.

  • Ticket Resolution: Handle Level 1 administrative tickets in Zendesk, addressing member concerns, troubleshooting basic issues, and escalating complex matters when necessary.
