As a valued member of our administrative team, you will be entrusted with a comprehensive set of responsibilities that are essential to the smooth operation of our client services. Your duties will include, but not be limited to:


  • Documentation Preparation and Management: Prepare and organize documentation for filing and associated correspondence, ensuring all materials meet our rigorous quality standards and regulatory requirements.
  • Information Gathering: Obtain all proper supporting information and documentation to ensure proper and efficient administration of client files, including income verification, tax filings, asset realizations, and other essential financial documents.
  • Creditor and Debtor Communication: Respond in a timely and professional manner to ongoing queries and requests from both creditors and debtors, maintaining positive relationships while facilitating resolution of outstanding matters.
  • Cross-Functional Collaboration: Liaise effectively with the administration team, including assisting with obtaining information, documentation, and following up on complex issues where your input and interpretation are requested.
  • Database Management: Utilize Microsoft Dynamics CRM to extract file details and information, ensuring data accuracy and completeness across all client records.
  • File Review and Completion: Prepare and review files for completeness, systematically following up on outstanding documents to ensure every file meets our comprehensive standards.
  • Internal Client Support: Collaborate with internal clients for clarification and issue resolution, serving as a trusted resource for administrative guidance and expertise.
  • Document Organization: Organize file documents in accordance with our established naming protocols, ensuring logical and accessible file structures for the entire team.
  • Financial Calculations: Perform calculations of income and surplus income obligations, demonstrating comfort with numerical data and financial documentation.
  • Regulatory Compliance: Understand and apply relevant legal requirements of multiple provincial jurisdictions, ensuring all documentation meets the specific regulatory standards of each province.
  • Searches and Verification: Perform relevant searches for insolvency, Personal Property Security Act registrations, house valuations, and computation of realizable value to support comprehensive file assessment.
  • Document Creation: Create all documents required for signature, ensuring accuracy, completeness, and compliance with company standards.
  • Quality Assurance: Review sign-up documents for accuracy and policy compliance, then file documents with the Official Receiver as required.
  • Data Entry Excellence: Accurately transfer pertinent information from written and scanned records into Ascend, our internal software system, maintaining the highest standards of data integrity.
  • Confidentiality Maintenance: Maintain client confidence and protect operations by keeping information strictly confidential, adhering to all privacy regulations and company policies.
  • External Communication: Liaise with external clients for clarification or outstanding documents, representing arenaflex with professionalism and courtesy.
  • Electronic Filing: Perform electronic filing of statutory documents with precision and attention to deadlines.
  • Digital Documentation: Prepare documents for DocuSign, ensuring all necessary fields are completed accurately.
  • Review and Amendment: Review amended proposals, identifying any discrepancies or areas requiring attention.
  • Additional Duties: Other tasks may be assigned as necessary to support team objectives and client service excellence.
