As a Customer Service Representative at arenaflex, you will serve as the inside contact for our valued customers, taking ownership of fulfillment activities, providing expert product recommendations, handling pricing inquiries, and resolving information-related concerns. Your proactive approach will ensure that every customer interaction strengthens our reputation and drives business growth.
What You'll Do: Key Responsibilities
As an integral member of our customer success team, you will:
- Respond to Customer Inquiries: Handle all customer communications received via phone, email, and fax with professionalism and efficiency. Document every interaction meticulously in Salesforce to maintain comprehensive customer records.
- Support Internal Teams: Professionally manage inquiries from sales, telesales, and distribution centers, serving as a critical link between departments.
- Product Recommendations: Recommend, quote, sample, and sell our VBS (Value-Based Solutions) products while identifying opportunities to expand customer usage.
- Custom Solution Assessment: Document instances where VBS products may not meet customer requirements, validate the economic viability of pursuing custom solutions using established arenaflex guidelines, and professionally transition customers to our technical community for further consultation.
- Order Fulfillment Ownership: Manage all aspects of order fulfillment from initial receipt through delivery and invoicing, ensuring a seamless experience.
- Order Processing: Enter new orders with precision, verifying accuracy against documented procedures. Process order changes and cancellations efficiently.
- Alternative Solutions: Recommend alternative VBS product constructions when customer requirements necessitate different specifications.
- Order Monitoring: Monitor open work orders and expedite as needed to prevent delays.
- Proactive Communication: Alert customers promptly regarding late or problem orders and suggest VBS product alternatives to support their operations.
- Logistics Support: Resolve customer-specific freight and logistics issues through consultation with arenaflex Shipping Departments.
- E-price Tool Expertise: Utilize the E-price tool to provide comprehensive support including product recommendations, price quotes, discounting, application sheets, product sampling, and trial orders.
- Complaint Resolution: Address information-related customer complaints, implement corrective actions, confirm resolutions to customers, and share insights with colleagues to prevent recurrence.
- Pricing & Error Resolution: Handle complaints related to pricing mistakes, order entry errors, and customer accommodations with fairness and efficiency.
- Account Development: Proactively engage assigned accounts through initiated phone and email contact to understand business applications and uncover opportunities where arenaflex can expand its participation.
- Overflow Support: Assist with order entry overflow for repeat orders and standard price quotations as needed.
- New Customer Setup: Responsible for accurate entry of new customer information in our systems.
- Continuous Improvement: Contribute to Customer Service Improvement Teams and embrace problem-solving challenges with a can-do attitude.
- Mentorship: Cross-train new employees when appropriate to strengthen team capabilities.
What We're Looking For: Qualifications & Requirements
Education
Bachelor's degree or equivalent business experience required. We value diverse educational backgrounds and real-world experience that demonstrates your ability to excel in this role.
Experience
- 1-3 years of previous Customer Service experience
- Experience in a Manufacturing environment (highly preferred)
- Experience using an ERP system (highly preferred)

Work Environment & Schedule
