Position Overview

We are currently seeking a dedicated and professional Customer Service Representative to join our remote team. In this position, you will be responsible for receiving and processing customer orders by telephone, ensuring all customer requests are handled in a prompt, efficient, courteous, and professional manner. As one of the primary points of contact with our customers, your role is critical in creating positive experiences and building lasting relationships.

This position requires a commitment to working a specific schedule: Monday, Tuesday, and Wednesday from 11:00 a.m. to 7:30 p.m., and Saturday and Sunday from 9:00 a.m. to 5:30 p.m. This schedule provides a unique work-life balance, offering mid-week days off while allowing you to be part of a team that serves customers during peak times.

Key Responsibilities

As a Customer Service Representative at arenaflex, you will play a vital role in ensuring customer satisfaction. Your primary duties will include:


  • Order Processing: Receive and process customer orders efficiently and accurately via telephone, ensuring all information is captured correctly and entered into our system.

  • Customer Interaction: Provide prompt, accurate, and courteous responses to all customer inquiries, maintaining a professional and positive demeanor in every interaction.

  • Problem Resolution: Solve routine and complex problems independently, demonstrating strong critical thinking and decision-making skills. Escalate issues to a supervisor when necessary to ensure timely resolution.

  • Active Listening: Practice active listening to fully understand customer needs, concerns, and preferences, ensuring each customer feels heard and valued.

  • System Documentation: Accurately document all customer interactions, orders, and follow-up actions in the DDF system, maintaining detailed and organized records.

  • Call Follow-Up: Consistently check appropriate DDF screen for report results to call back to customers with updates or resolutions as needed.

  • Manual Order Entry: Display the ability to enter orders manually via fax process when required, ensuring no customer request goes unanswered.

  • Phone System Operation: Operate the phone system effectively, managing multiple calls, hold times, and transfers with professionalism.

  • Schedule Adherence: Adhere to your assigned work schedule, being punctual and reliable for all shifts.

  • Cross-Training: Be willing to be cross-trained in other positions within the department, expanding your skill set and contributing to team flexibility when needed.

  • Productivity Goals: Achieve the ability to handle an average of 110 customer interactions per eight (8) hour shift after four months in the position, including both incoming and outgoing calls.

Qualifications Required

To succeed in this role, candidates must meet the following requirements:


  • High school diploma or equivalent (required).

  • Ability to work independently and as part of a collaborative team.

  • Strong computer knowledge and proficiency with relevant software systems.

  • Excellent customer service skills with a passion for helping others.

  • Solid communication skills, including verbal, written, and active listening abilities.

  • Strong problem-solving and decision-making capabilities.

  • Good organizational skills with the ability to manage multiple tasks simultaneously.

  • Ability to execute and prioritize multiple tasks effectively in a fast-paced environment.

  • Professional demeanor and appearance, even in a remote work setting.

  • Typing speed of 35-40 words per minute.

  • Flexibility and adaptability to change, with a positive attitude toward learning new processes.

  • Medical terminology experience is preferred but not required.

  • Must have high-speed internet access for remote work (this is a mandatory requirement).
