Position Overview
We are seeking a highly organized and detail-oriented professional to provide comprehensive administrative and customer service support to our Consumer Interaction Center (CIC) initiative team. This remote position offers the flexibility of working from home while contributing to meaningful organizational projects and initiatives. The ideal candidate will be client-engaged, adaptable, and possess strong organizational abilities to create efficient processes and workflows.
This role serves as a critical hub within our operations, ensuring responsive, accurate, and efficient support for everyday administrative requirements. Key Responsibilities
As a valued member of the arenaflex team, you will be responsible for the following duties:
- Executive Support: Execute and uphold area initiatives through organizational support for the CIC initiative team, ensuring responsive, accurate, and efficient assistance for everyday administrative requirements.
- Financial Compliance: Use Agree to follow organization policies for all activity and expenses and PCARD reconciliation, maintaining meticulous records and ensuring compliance with financial protocols.
- Procurement Processing: Process acquisition transactions, purchase order (PO) creation, receipt submission, and payments using the MYBUY S/4HANA platform, demonstrating proficiency in procurement systems.
- Vendor Management: Set up new providers and merchants using the MDG (Master Data Governance) system, ensuring accurate vendor records and smooth onboarding processes.
- Invoicing Operations: Process PO invoicing and submission in SAP, maintaining accuracy and timeliness in all financial documentation.
- Reporting & Analysis: Create, run, and distribute reports on an as-needed basis for the CIC group, providing valuable insights and data-driven support to leadership.
- Documentation Management: Create and maintain organizational charts, delivery records, and contact lists, ensuring up-to-date information accessibility for the team.
- Equipment Administration: Research, maintain, and inventory all division equipment for both in-office and work-from-home employees, managing assets efficiently across the organization.
- Event Coordination: Help support and coordinate operations for quarterly CIC town halls, CIC leadership gatherings on and off-site, and various division events, ensuring seamless execution.
- Onboarding Support: Assist with new team member onboarding, including ordering supplies, mailing and transportation arrangements, and guest reception.
- Additional Duties: Perform other work responsibilities as assigned, contributing to overall team success and organizational effectiveness.

Required Qualifications & Skills
Administrative Expertise

Technical Proficiency
- SAP Experience: Working knowledge of SAP systems, including HANA and Agree platforms, is required.
- Microsoft Office Mastery: Proficient in MS Office applications, particularly advanced Excel and PowerPoint skills for data analysis and presentation creation.
- MYBUY Platform Experience: Familiarity with the MYBUY procurement platform.
Professional Experience
- Handling of Procurement Orders, invoicing, and PCard reconciliation.
- Onboarding training experience preferred.
- Customer service or logistics experience required.
- Administrative experience including operations support, calendaring, reporting, planning, group support, and maintaining records, charts, and documents.
