Position Overview
As a Part-Time Remote Customer Service Representative at arenaflex, you will be responsible for processing patient information, handling prescription data entry, and providing exceptional support to both patients and healthcare professionals. This role requires strong attention to detail, excellent communication skills, and the ability to work independently in a fast-paced remote environment.
You will be working under direct supervision, following established guidelines and procedures to ensure compliance with industry standards and regulations. Key Responsibilities
- Patient Enrollment & Data Entry: Utilize arenaflex prescription data entry techniques and guidelines to process new patient enrollments by accurately entering information into the appropriate system. Ensure all data is entered correctly and efficiently to maintain patient records.
- Prescription Processing: Handle patient medication requests within HIPAA guidelines and enter refill orders for processing. Accurately interpret clinical abbreviations (SIG codes) and ensure all prescription information is complete and accurate.
- Data Exception Resolution: Investigate and resolve all data entry-related exceptions. Identify missing prescription information and take appropriate action to obtain required details. Maintain high accuracy rates to prevent errors that could impact patient care.
- Patient Communication: Handle correspondence with patients through inbound calls, chats, and emails. Respond promptly and professionally to patient inquiries, providing accurate information and excellent service. Make outbound calls to prescribers and patients as needed to resolve issues or gather information.
- Third-Party Exception Management: Resolve third-party exceptions by researching, collecting information, making necessary amendments, and resubmitting for processing according to individual plan requirements. Make phone calls to backup plans and other parties to obtain information, gain override approval, or otherwise resolve third-party exceptions.
- Pharmacist Support: Provide assistance to Pharmacists, both those in the office and those at other locations. Collaborate with pharmacy staff to ensure seamless operations and excellent patient care.
- Issue Escalation: Identify and communicate issues to senior-level staff as appropriate. Maintain awareness of escalation protocols and ensure timely resolution of complex issues.
- Compliance & Licensing: Acquire an active professional license or certification within the first 90 days of employment, and maintain an active license or certification throughout employment. Comply with all state and government guidelines regarding information section and patient enrollment.
Essential Qualifications & Skills
To succeed in this role, candidates must meet the following requirements:
- Education: Bachelor's Degree preferred, or equivalent combination of education and experience.
- Computer Skills: Basic level computer skills including the ability to start up and shut down computers, use a mouse to point and click, start and close programs, switch between programs, save documents, print documents, and access information online.
- Web Navigation: Basic web browser skills including opening a browser, typing URLs correctly, using search engines, bookmarking websites, navigating using back/forward/stop buttons, and completing forms online.
- Keyboard Proficiency: Intermediate-level keyboarding skills with a minimum of 25 WPM (words per minute), ability to type from memory, and proficiency in organizing documents.
- Communication Skills: Excellent written and verbal communication skills. Ability to communicate clearly, professionally, and empathetically with patients and healthcare professionals.
- Attention to Detail: Strong attention to detail with the ability to accurately process and verify data while maintaining productivity.
- Time Management: Ability to manage time effectively, prioritize tasks, and meet deadlines in a remote work environment.
Preferred Qualifications & Experience
While not required, the following qualifications and experience are highly preferred:
- At least one year of pharmacy technician experience in a retail or call center environment.
- Experience providing customer service to internal and external clients, including meeting quality standards for services and evaluating customer satisfaction.
- Intermediate to advanced keyboarding skills with a minimum of 35 WPM, typing from memory, and strong document organization abilities.
- Bilingual proficiency in Spanish and English (verbal and written).
- Knowledge of pharmacy operations, prescription processing, and healthcare terminology.
- Familiarity with HIPAA regulations and patient confidentiality requirements.
