About the Role

As a Customer Service Representative at arenaflex, you'll be the frontline of our patient support operations. This position is perfect for individuals who excel at multitasking, Pay close attention to detail, and enjoy interacting with patients and healthcare professionals. You'll be responsible for managing prescription data entry, handling patient inquiries, resolving insurance and billing issues, and ensuring compliance with healthcare regulations.

This is a part-time position offering flexible scheduling with 8-hour shifts. The hourly rate is competitive at $23/hour, with opportunities for growth and professional development within the organization.

Key Responsibilities

Your day-to-day responsibilities will include, but not be limited to:


  • Patient Enrollment & Data Entry: Process new patient enrollments by accurately entering their information into our pharmacy management systems. You'll follow established protocols to ensure all data is captured correctly and securely.
  • Prescription Processing: Handle patient medication requests within HIPAA guidelines. Enter refill orders for processing, investigate missing prescription information, and interpret clinical abbreviations (SIG codes) to ensure accurate dispensing.
  • Exception Resolution: Investigate and resolve third-party rejections and billing issues. This includes researching the root cause, gathering required information, making necessary amendments, and resubmitting claims according to specific plan requirements.
  • Patient Communication: Manage incoming communications via phone, chat, and email. Make outbound calls to prescribers and patients as needed to clarify information, obtain approvals, or resolve issues.
  • Pharmacist Support: Provide assistance to pharmacists both in your assigned location and at other arenaflex facilities. Identify and escalate issues to senior staff members as appropriate.
  • Compliance & Documentation: Adhere to all state and government guidelines regarding information collection and patient enrollment. Follow established work procedures and policies as outlined by arenaflex.
  • License & Certification: Obtain an active pharmacy technician license or certification within the first 90 days of employment and maintain it throughout your tenure.

Essential Qualifications & Skills

To succeed in this role, you'll need:


  • Educational Background: A Bachelor's degree is preferred, though equivalent experience will be considered.
  • Technical Proficiency: Basic computer skills including the ability to start/shut down computers, use pointing devices, navigate between programs, save and print documents, and access information online.
  • Web Navigation: Familiarity with web browsers, including how to open browsers, enter URLs, use search engines, bookmark sites, navigate using browser buttons, and complete online forms.
  • Keyboard Proficiency: Intermediate typing skills with a minimum speed of 25 WPM, ability to type from memory, and experience organizing documents.
  • Communication Skills: Excellent written and verbal communication skills. You must be able to convey information clearly and professionally to patients, healthcare providers, and internal team members.
  • Attention to Detail: Strong ability to detect errors and inconsistencies in data, ensuring accuracy in all patient and prescription records.
  • Time Management: Ability to work independently, manage your time effectively, and meet productivity targets in a remote work environment.

Preferred Qualifications

While not required, the following will strengthen your application:


  • At least one year of pharmacy technician experience in a retail or call center environment.

  • Previous experience providing customer service to internal and external clients, including meeting quality standards and evaluating customer satisfaction.

  • Advanced keyboarding skills (35+ WPM) with the ability to type from memory and organize documents efficiently.

  • Bilingual proficiency in Spanish and English.

  • Knowledge of insurance billing and claims processing in a healthcare setting.

  • Familiarity with pharmacy management systems and electronic health records.
