QBE Insurance is a company focused on providing comprehensive insurance solutions. They are seeking an Office Manager to provide administrative support to executives and internal teams, ensuring efficient information management and office coordination.
Responsibilities
- Maintain a healthy and safe office environment
- Develop and maintain effective hard and soft copy filing systems
- Address all enquiries from customers professionally and accurately
- Manage accurate flow of incoming and outgoing information, ensuring confidentiality and highlighting pressing deadlines
- Book meetings, organize events, arrange travel and file expense reports
- Order supplies, stationary and maintain consumables stock
- Coordinate meetings, agenda and matter lists for internal team meetings
- Provide a professional, business-like and efficient interface point with internal and external representatives
- Assist in preparing and reviewing reports, spreadsheets and presentations
- Initiate special projects and process improvements based on department needs
Skills
- Some relevant work experience
- Bilingual proficiency in English and Spanish required, with strong verbal and written communication skills in both languages
- Experience in a secretarial or an administration role
- Customer service experience
- Administrative/secretarial experience in a sizable company
