Position Overview

In this critical role, you will be responsible for supporting the prescriber assessment process, reviewing and organizing Prescriber Evaluation Referral Forms (PERF), gathering internal and external prescribing data, and coordinating prescriber and patient mailings within specific time frames. You will play a key role in generating communications through COMPASS and RHM systems while assisting with ad hoc reporting for the prescriber assessment team and contributing to displays for the Integrity and Patient Safety teams.
Key Responsibilities
As a Pharmacy Coordinator at arenaflex, your primary responsibilities will include:
- Prescriber Assessment Support: Assist in the prescriber assessment process by reviewing and organizing Prescriber Evaluation Referral Forms (PERF), gathering both internal and external prescribing data, and coordinating prescriber and patient communications within unique and demanding time frames.
- Communication Management: Create and enable the release of COMPASS and RHM communications, ensuring accuracy and timeliness in all correspondence related to prescriber evaluations and patient safety initiatives.
- Reporting and Analysis: Generate ad hoc reports for the prescriber assessment team and assist in creating displays and presentations for the Integrity and Patient Safety teams, utilizing your analytical skills to identify trends and areas for improvement.
- Controlled Substance Monitoring: Research and analyze managed substance orders placed manually at the store level. Determine if orders are suspicious based on ordering patterns and circumstances, and take appropriate actions to educate personnel on proper ordering approaches.
- DEA Reporting and Compliance: Generate reports and provide data to DEA agents on store dispensing patterns, and prescriber or patient profiles within a forty-eight-hour window. Build ad hoc queries to pull data outside of regular reporting requirements while maintaining strict compliance with DEA regulations.
- Policy Support: Maintain up-to-date understanding of issues including controlled substance ordering processes, Good Faith Dispensing (GFD) policies, and DEA licensing requirements. Assist stores and field supervision with questions through email and phone on various related topics.
- Audit Support: Assist analysts in developing and reviewing store audits for managed substance losses. Collaborate with Pharmacy Managers and Supervisors to ensure that losses are reported within the required time frame and with 100% accuracy.
- Prescriber Management: Manage the prescriber fee ticket resolution system. Validate and update prescriber data. Collaborate with Pharmacists to ensure that any prescription blocking is legitimate and justified.
- Allocation Research: Research and analyze requests for increases to managed substance allocations. Make informed decisions based on collaboration with Pharmacy Managers, Supervisors, and item vendors. Mitigate risk to the organization by ensuring due diligence is completed and documented thoroughly.
- Policy Implementation: Assist in the implementation and updating of the Good Faith Dispensing and Target Drug Good Faith Dispensing policies, ensuring all team members are informed and compliant.
- Technical Support: Utilize advanced skills in Excel and PowerPoint and the ability to query databases to support analysts in the creation of presentations and training for store workforce and supervision.
Essential Qualifications
To be considered for this position, candidates must meet the following requirements:
- Education: High School Diploma or GED required
- Experience: Minimum of three (3) years of experience as a pharmacy technician in a retail or clinical setting
- Certification: Required certification as a Certified Pharmacy Technician (CPhT) granted by the Pharmacy Technician Certification Board (PTCB)
- Regulatory Knowledge: Demonstrated experience with prescriber licensing requirements, including National Provider Identifier (NPI), Drug Enforcement Administration (DEA) registration, and state licenses
- Technical Skills: Intermediate level proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint
- Database Experience: Experience with querying databases to extract and analyze data for reporting purposes
- Analytical Abilities: Experience with reading and reporting data to identify problems, trends, or exceptions to drive the improvement of outcomes and find solutions
- Communication Skills: Excellent written and verbal communication skills, adapted appropriately for various audiences including healthcare professionals, regulatory agencies, and internal stakeholders
- Location: Must reside in Iowa, USA, and have the ability to work remotely with a reliable high-speed internet connection
Preferred Qualifications
While not required, the following qualifications will give you a competitive edge:
- Experience with internal arenaflex systems including SIMS and IC+
- Familiarity with managed substance ordering processes within arenaflex, including PDQ®, RxQuick Order, and Passport systems
- Previous experience in a compliance or regulatory role within the pharmaceutical industry
- Knowledge of state pharmacy laws and regulations
- Experience working with DEA reporting and controlled substance monitoring
- Advanced proficiency in data visualization tools and techniques
