We are currently seeking a talented and detail-oriented Payroll & Data Administration Specialist to join our dynamic APAC Finance team. Position Overview
As a Payroll & Data Administration Specialist at arenaflex, you will play a crucial role in maintaining and administering our payroll operations across the Asia-Pacific region. This position requires exceptional attention to detail, strong analytical skills, and the ability to work effectively with cross-functional teams. You will be responsible for ensuring the accurate and timely processing of employee compensation while maintaining the highest standards of data integrity and confidentiality.
This is a remote position based in our Philippines office, with regular collaboration with team members across the APAC region, including Singapore and other countries. The ideal candidate will be organized, detail-oriented, and capable of managing multiple priorities in a dynamic work environment.
Key Responsibilities
As an integral member of our Finance and Payroll team, you will be responsible for the following core functions:
- Payroll Processing: Manage end-to-end payroll processing for assigned APAC countries using third-party payroll providers, ensuring accuracy and timeliness in every cycle.
- Data Management: Enter, verify, and update employee data accurately and efficiently in our HR information systems, maintaining data integrity at all times.
- Employee Changes: Prepare, post, and process payroll changes including new hires, terminations, and status changes for each entity, delivering this information to payroll providers in a timely manner through Workday HCM.
- Compliance Management: Ensure strict compliance with relevant guidelines, statutory requirements, and labor laws across all assigned countries, particularly in Korea, Australia, and India.
- Quality Assurance: Validate payroll input against payroll checks and coordinate with payroll carriers for required changes, corrections, and adjustments.
- Payment Coordination: Work closely with payroll providers to ensure timely payout to employees and statutory payments, including taxes and benefits contributions.
- Reporting: Execute tasks associated with monthly, quarterly, and year-end payroll reporting and taxation, ensuring all deadlines are met with precision.
- Employee Support: Serve as the primary point of contact for employees regarding payroll inquiries through the Zendesk ticketing system, providing timely and professional responses.
- Financial Administration: Record, screen, and process monthly payroll prices, and raise purchase orders as necessary.
- Vendor Management: Report and monitor payroll providers' contract renewal dates, ensuring continuity of service.
- Cross-Functional Collaboration: Work seamlessly with Philippines and Singapore team members while following global system alignment and best practices.
- Expense Processing: Process weekly expenses in-house through Workday host-to-host payment systems.
Essential Qualifications
To succeed in this role, you must possess the following minimum requirements:
- Educational Background: Bachelor's degree in Accounting, Business Management, Finance, or a related field is required.
- Professional Experience: Minimum of 2 years of experience in payroll and accounting processing, preferably within a BPO (Business Process Outsourcing) or shared services environment.
- Regional Knowledge: Experience working with APAC payroll, with specific knowledge of payroll processes in Korea, Australia, and India preferred.
- Regulatory Expertise: Strong understanding of payroll and associated statutory labor laws required for accurate payroll-related calculations and compliance.
- Technical Proficiency: Above-average proficiency in Google Docs, Google Sheets, Gmail, Microsoft Excel, Microsoft Word, and Workday HCM.
- Language Skills: Strong written and verbal communication skills in English are essential for effective collaboration across regional teams.

Compensation & Benefits
We offer a competitive compensation package that reflects the importance of this role and the value we place on our employees. The starting annual salary for this position is $65,000 USD, commensurate with experience and qualifications.
