As a Customer Service Representative – Pharmacy Data Entry & Patient Enrollment Specialist at arenaflex, you will be an essential part of our pharmacy operations team. In this role, you will be responsible for accurately processing patient information, handling prescription data entry, and providing exceptional customer service to patients, pharmacists, and healthcare providers. You will be working directly with our pharmacy systems to obtain patient and medication information, ensuring compliance with all applicable regulations including HIPAA guidelines. This position requires a strong commitment to accuracy, excellent communication skills, and the ability to handle high-volume requests while maintaining the highest standards of quality and professionalism.

Key Responsibilities


Your day-to-day responsibilities will include, but not be limited to:


  • Patient Enrollment & Data Entry: Utilizing arenaflex prescription information entry techniques and guidelines, process new patient enrollments by accurately entering data into our proprietary systems. Ensure all information is captured correctly and in compliance with regulatory requirements.
  • Prescription Processing: Handle patient medication requests within strict HIPAA guidelines. Enter refill orders for processing, ensuring accuracy and timeliness to prevent delays in patient care.
  • Research & Resolution: Investigate and acquire missing prescription information as needed. Interpret clinical abbreviations and SIG codes accurately to ensure proper prescription processing.
  • Exception Handling: Resolve all data entry-related exceptions efficiently and accurately. Identify patterns in errors and implement corrective measures to prevent future occurrences.
  • Patient Communication: Handle correspondence with patients through multiple channels including inbound calls, chat messages, and emails. Respond promptly and professionally to all customer inquiries.
  • Outbound Communication: Make outbound calls to prescribers and patients as needed to resolve issues, clarify information, or follow up on pending requests.
  • Third-Party Resolution: Investigate, collect information, make necessary revisions, and resubmit third-party rejections for processing according to individual plan requirements. Contact insurers and other parties via telephone to obtain information, gain override approvals, or otherwise resolve third-party rejections.
  • Pharmacist Support: Provide assistance to Pharmacists, both those in the office and those in other locations. Serve as a reliable resource to support pharmacy operations.
  • Escalation: Identify and communicate issues to senior-level staff as appropriate, ensuring timely resolution of complex problems.
  • Compliance: Maintain a working knowledge of all Company policies and procedures. Perform duties in accordance with organizational guidelines and methodology.

License & Certification Requirements


Please note that this position requires you to obtain an active professional license or certification within the first 90 days of employment. You must acquire and maintain an active technician license or certification as required by your state's Board of Pharmacy or a nationally recognized certification organization.

Essential Qualifications

To be considered for this position, you must meet the following minimum requirements:


  • Education: High School Diploma or GED required.
  • Computer Skills: Basic level computer proficiency including the ability to start up and shut down computers, use mouse navigation, start and close programs, switch between applications, save documents, print documents, and access information online.
  • Internet Skills: Basic web browsing capabilities including opening a browser, typing URLs correctly, using search engines, bookmarking websites, navigating back/forward/stop buttons, and completing online forms.
  • Keyboard Skills: Intermediate-level keyboarding skills with a minimum typing speed of 25 words per minute (WPM). Must be capable of typing from memory and organizing documents effectively.
  • Communication: Strong written and verbal communication skills. Must be able to convey information clearly and professionally.
  • Age Requirement: Must be 18 years of age or older.

Preferred Qualifications


While not required, the following qualifications will strengthen your application and may be considered during the selection process:


  • At least one year of pharmacy technician experience in a retail or call center environment.
  • At least one and a half years of experience as a pharmacy technician with current certificate/registration granted by the state Board of Pharmacy or a nationally recognized certification organization.
  • Demonstrated experience providing exceptional customer care to internal and external clients, including meeting quality standards for services and evaluating customer satisfaction.
  • Intermediate to advanced keyboarding skills with a minimum typing speed of 35 WPM, typing from memory, and organizing documents professionally.
  • Bilingual proficiency in Spanish and English (written and verbal).
