As a valued member of our Energy Services department, you will play a crucial role in maintaining organized, accurate, and up-to-date digital records that support the day-to-day operations of our programs. Key Responsibilities
The Energy Services Data Entry Specialist will be responsible for maintaining the integrity of our client data systems and ensuring seamless operational support. The following duties represent the core responsibilities of this role:
- Data Management and Entry: Input and maintain updated client status records in the Statewide Client Service Center, accurately reflecting the current production pipeline and ensuring all information is current and accessible to program staff.
- Communication Monitoring: Monitor incoming emails and communications, promptly logging documents and correspondences in the Monday.com platform upon receipt to ensure no critical information falls through the cracks.
- Database System Compliance: Follow program guidelines meticulously for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other systems as needed. Maintain proficiency in multiple platforms and adapt to new technologies as programs evolve.
- Record Organization and Maintenance: Maintain organized digital and paper participant files in accordance with program guidelines, ensuring full compliance with agency and funder requirements. Implement systematic filing approaches that support efficient information retrieval.
- Team Collaboration: Collaborate effectively with program staff to support, enhance, and promote communication and consistency in the delivery of services. Serve as a reliable administrative partner to program coordinators and case managers.
- General Clerical Support: Assist with various clerical duties, including but not limited to filing, mailings, phone coverage, document preparation, and other administrative tasks as assigned.
- Remote Work Availability: Maintain availability for remote work arrangements, including attending virtual meetings, responding promptly to communications, and conducting regular duties as needed during standard business hours.
- Professional Development: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings. Participate in mandatory agency training and pursue relevant professional development activities to enhance job performance.
- Confidentiality and Security: Ensure strict confidentiality is maintained in all aspects of the role, adhering to HIPAA regulations and agency policies regarding client information security.
- Additional Duties: Perform related work as required, demonstrating flexibility and willingness to support team needs as they arise.
Required Qualifications and Skills
To succeed in this role, candidates must meet the following minimum requirements:
- Education: Associate degree or equivalent professional experience in a relevant field such as human services, business administration, or a related discipline.
- Experience: A minimum of two years of experience in Human Services or a related field, OR applicable work experience working with diverse individuals and families facing economic challenges. We value practical experience that demonstrates your ability to work effectively with varied populations.
- Education/Experience Substitution: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education at the discretion of the hiring committee.
- Language Skills: Bilingual in Spanish preferred, as this proficiency will significantly enhance your ability to serve our diverse community effectively.
- Technical Proficiency: Strong computer skills with proficiency in Microsoft Office applications, email platforms, and comfort learning new database systems.
