Position Overview

We are currently seeking motivated individuals to fill full-time Call Center Representative positions at our Illinois location. This role involves providing exceptional support to patients, healthcare providers, and pharmacists while adhering to state and federal regulations, including HIPAA guidelines. You'll work under direct supervision, following established protocols and procedures to ensure accuracy and compliance in all aspects of prescription processing and patient enrollment.

Key Responsibilities


  • Patient Enrollment & Information Management: Process new patient enrollments by accurately entering data into our pharmacy systems according to established guidelines. Ensure all patient information is properly documented and maintained in compliance with regulatory requirements.
  • Prescription Processing: Handle patient medication requests within HIPAA guidelines. Enter refill orders for processing, investigate and obtain missing prescription information, and interpret clinical abbreviations (SIG codes) to ensure accurate dispensing.
  • Exception Resolution: Resolve all data entry-related exceptions promptly and accurately. Investigate discrepancies, gather necessary information, and make appropriate amendments to ensure smooth processing.
  • Patient Communication: Manage incoming calls, visits, and emails from patients professionally and courteously. Make outbound calls to prescribers and patients as needed to follow up on prescriptions, clarify information, or address concerns.
  • Third-Party Claims Resolution: Investigate and resolve third-party billing issues by gathering information, making amendments, and resubmitting claims according to specific policy requirements. Contact insurers and other parties via phone to obtain information, gain override approvals, or resolve complex billing issues.
  • Pharmacist Support: Provide assistance to pharmacists both in-office and at other locations. Identify and escalate issues to senior staff members as appropriate to ensure timely resolution.
  • Compliance & Licensing: Obtain an active professional license or certification within the first 90 days of employment and maintain it throughout your tenure with arenaflex.

Essential Qualifications


  • Education: Bachelor's Degree preferred, though equivalent experience will be considered
  • Computer Skills: Basic proficiency in computer operations including:

    • Starting up and shutting down computers

    • Using mouse for pointing and clicking

    • Opening and closing programs

    • Switching between applications

    • Saving documents and printing

    • Accessing information online


  • Web Navigation Skills: Basic proficiency in web browser usage including:

    • Opening browsers and entering URLs correctly

    • Using search engines effectively

    • Bookmarking websites

    • Navigating using back/forward/stop buttons

    • Completing online forms


  • Keyboard Skills: Moderate typing proficiency (minimum 25 WPM) with ability to type from memory and format documents
  • Communication Skills: Strong written and verbal communication abilities, with the capacity to convey information clearly and professionally
  • Language Skills: Fluent in English; bilingual (Spanish and English) proficiency is a strong advantage

Preferred Qualifications


  • Previous experience providing customer support to internal and external clients

  • Demonstrated ability to meet quality standards for services

  • Experience in assessing and maintaining customer satisfaction

  • Advanced keyboarding skills (35+ WPM) with proficiency in document formatting
