About This Role: Customer Billing Support Specialist

As a Customer Billing Support Specialist at arenaflex, you will play a critical role in ensuring that our authors have a smooth and positive financial experience throughout their publishing journey. This position is ideal for individuals who excel in customer-facing financial roles, enjoy problem-solving, and have a natural ability to de-escalate complex payment situations with professionalism and empathy.

You will be the primary point of contact for authors seeking assistance with payment-related inquiries, billing discrepancies, account resolutions, and financial account management. Your work will directly impact author satisfaction and retention, making you an essential part of our customer experience ecosystem. You will collaborate closely with our Finance and Customer Experience teams to ensure seamless case management and resolution.

What You Will Do


  • Author Financial Support: Respond to author inquiries regarding account balances, payment issues, billing questions, and general financial concerns through phone, email, and live chat channels. Provide clear, accurate, and timely information that helps authors understand their financial standing with arenaflex.

  • Collections & Payment Follow-Ups: Proactively contact authors with overdue payments, working professionally and respectfully to resolve outstanding balances. Document all collection activities thoroughly and develop strategies to minimize accounts receivable aging.

  • Royalty Withdrawal Processing: Process author royalty withdrawals accurately and efficiently, ensuring that creators receive their earned payments in a timely manner. Verify payment details and resolve any discrepancies that may arise during the withdrawal process.

  • Payment Method Management: Assist authors with updating their payment information, resolving failed transactions, and troubleshooting payment gateway issues. Guide authors through secure payment method updates while maintaining compliance with financial data protection standards.

  • Dispute Resolution: Handle refund requests, chargebacks, and customer disputes with a solution-oriented approach. Investigate issues thoroughly, collaborate with internal teams when necessary, and ensure fair and accurate resolutions that maintain author trust.

  • Financial Record Maintenance: Maintain comprehensive and accurate documentation of all financial support activities, collections efforts, and payment resolutions. Ensure that all case notes are detailed and accessible for audit purposes and team collaboration.

  • Cross-Functional Collaboration: Work closely with the Finance team to address complex billing issues, coordinate with Customer Experience to ensure seamless author journeys, and participate in process improvement initiatives.

  • System Utilization: Leverage CRM tools and billing systems to track, manage, and resolve author cases efficiently. Utilize reporting features to monitor case status, identify trends, and contribute to continuous improvement efforts.

Essential Qualifications


  • Prior experience in customer financial support, collections, or payment processing roles. Note that this role focuses on customer-facing financial interactions rather than accounting or finance analysis functions.

  • Excellent communication skills in English – both spoken and written – with the ability to handle customer inquiries professionally, empathetically, and effectively.

  • Strong problem-solving mindset with the ability to de-escalate payment issues, navigate difficult conversations, and negotiate mutually beneficial solutions.

  • Familiarity with CRM platforms (Salesforce or similar), Microsoft Teams, and Google Workspace (G Suite) tools.

  • Detail-oriented and highly organized, with the capability to track multiple outstanding balances and financial transactions accurately.

  • Comfortable working in a remote environment with self-motivation, strong accountability, and minimal supervision.
