Position Overview

As a Customer Service Representative at arenaflex, you will be the first point of contact for healthcare providers, members, and plan sponsors seeking assistance with their inquiries, concerns, and claims-related issues. This role is critical in ensuring satisfaction and maintaining the high standards of service that arenaflex is known for.

Your primary responsibility will be to answer questions and resolve issues based on phone calls, letters, and electronic communications from our valued customers. You will triage resulting work to appropriate staff members, process claim referrals, and provide comprehensive support for high-volume inbound calls. The ideal candidate thrives in a highly transactional call center environment and possesses excellent critical thinking skills to navigate complex situations with ease.

  • Respond promptly and professionally to customer inquiries through phone, email, and other communication channels, ensuring every interaction reflects arenaflex's commitment to excellence.

  • Resolve complaints and concerns with empathy and efficiency, maintaining a positive, calm demeanor even in challenging situations.

  • Master our products and services inside and out so you can confidently answer questions and provide accurate information to customers.

  • Process orders, forms, applications, and requests accurately and timely, ensuring all documentation meets arenaflex's rigorous standards.

  • Maintain detailed records of customer interactions, transactions, comments, and complaints to support continuous improvement.

  • Collaborate with colleagues across departments to ensure seamless service and coordinated solutions for complex issues.

  • Provide feedback on the efficiency of customer service processes, contributing to ongoing improvements and innovation.

  • Support team development by mentoring junior customer service representatives and fostering a culture of excellence.

  • Conduct extensive claims research on multiple platforms to assist providers with payment questions and resolve billing discrepancies.

  • Use customer service threshold frameworks to make financial decisions that resolve member issues effectively.

  • Explain member rights and responsibilities in accordance with contract terms and regulatory requirements.

  • Process claim referrals, nurse reviews, complaints, grievances, and appeals through our target system with precision and attention to detail.

  • Educate and assist providers on self-service options, credentialing, re-credentialing, and contracting questions.

  • Compile claim data for customer audits and determine medical necessity, coverage provisions, and member plan eligibility.

  • Proactively anticipate customer needs by providing related information such as additional plan details, benefit information, and self-service tools.

Required Qualifications

To succeed in this role, you must meet the following requirements:

  • Residency: You must live in the state of Oklahoma on a full-time basis.
  • Technical Skills: Familiarity with Microsoft Office products is essential.
  • Experience: Previous experience in a highly transactional call center environment is required.
  • Core Competencies: Excellent customer service skills and strong critical thinking abilities are a must.
  • Internet Requirements: High-speed internet access (25 Mbps or higher) with a consistent, reliable connection.
  • Hardware Setup: Your work location must be set up with a direct ethernet connection to the router (Wi-Fi is not permitted). arenaflex will provide a 6½-foot ethernet cord; if your setup requires a longer cable, you will need to provide your own.
  • Availability: Must be able to attend four weeks of virtual training between the hours of 8:00 AM – 5:00 PM CST.
  • Post-Training Schedule: After completing training, your permanent schedule will be Monday through Friday, with start times as early as 7:00 AM CST and end times as late as 7:00 PM CST.
  • Education: High school diploma or GED equivalent is required.

Preferred Qualifications

While not required, the following qualifications will help you stand out:


  • Previous experience in healthcare customer service or insurance claims processing.

  • Knowledge of medical terminology and claims adjudication processes.

  • Strong typing speed and data entry accuracy.

  • Experience with CRM systems and multi-platform navigation.

  • Ability to handle high-volume calls while maintaining quality and accuracy.

Training and Development

Upon joining our team, you will undergo a comprehensive four-week virtual training program designed to equip you with the knowledge and skills needed to excel in your role. Training sessions will be conducted Monday through Friday between 8:00 AM and 5:00 PM CST, providing you with a solid foundation in our systems, processes, and customer service standards.
