About This Role

As a Customer Service Representative at arenaflex, you will be the frontline ambassador for our company, serving as the primary point of contact for customers seeking information about our products and services. Your role is pivotal in shaping the customer experience and ensuring satisfaction across every interaction.

In this position, you will be responsible for providing timely and accurate information to customers regarding their order status and product information requests. You will adhere to established department and intra-departmental policies and procedures to ensure consistency and excellence in every customer interaction. Your attention to detail and commitment to accuracy will help maintain the trust and confidence of our valued customers.

Additionally, you will process customer returns according to established department policies and procedures, ensuring a seamless and hassle-free experience for customers who need to return or exchange products. This requires a thorough understanding of our return policies and the ability to navigate complex scenarios with empathy and efficiency.

Collaboration is key in this role. You will work closely with our Medical Billing department to resolve disputed billing charges, serving as a liaison between customers and internal teams to find fair and timely resolutions. Your ability to communicate effectively and maintain positive relationships will be essential in these collaborative efforts.

Providing timely feedback to Customer Service Management regarding service failures or customer concerns is another critical aspect of this role. Your insights will help identify areas for improvement and contribute to the continuous enhancement of our customer service processes.

Furthermore, you will partner with Sales Representatives to meet or exceed customer service expectations. This partnership ensures that our customers receive a seamless experience whether they are placing orders, seeking product information, or resolving issues.

What We're Looking For

To be successful in this role, you require:


  • Experience: At least one year of experience in the medical industry or in a call center/customer service environment. This background will provide you with the foundational knowledge needed to understand our products and serve our customers effectively.

  • Technical Proficiency: The ability to read, analyze, and interpret medical supply publications, technical procedures, and training tools. You should be comfortable navigating complex technical information and translating it into clear, understandable language for customers.

  • Mathematical Skills: The ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Accuracy in these calculations is essential for processing orders and resolving billing inquiries.

  • Problem-Solving Abilities: The capability to solve practical problems and deal with a variety of variables. You should be able to think on your feet and find effective solutions to unexpected challenges.

  • Technology Skills: Knowledge of Microsoft Office Applications, including Word, Excel, and Outlook. These tools are essential for documenting interactions, tracking orders, and communicating with team members.
