What You Will Do: Key Responsibilities
As a Customer Service Representative at arenaflex, you will serve as the primary point of contact for parents and guardians seeking information about our educational programs. Your days will be filled with meaningful interactions that directly contribute to student success and family satisfaction. Here is what you can expect:
- Deliver Outstanding Customer Experience: Provide exceptional customer service through multiple channels including phone, email, and messaging platforms. Every interaction is an opportunity to build trust and demonstrate our commitment to families.
- Guide Families Through Enrollment: Assist parents and guardians with enrolling students in EXL, our comprehensive before-and-after-school program serving the San Bernardino City Unified School District. Additionally, help families explore and register for Broadway Now! programs available exclusively to EXL students.
- Answer Questions & Address Concerns: Serve as a knowledgeable resource for parents regarding program details, schedules, policies, and any questions they may have. Your goal is to ensure families feel confident and informed about their choices.
- Generate Comprehensive Reports: Prepare and deliver weekly enrollment and attendance reports for various Broadway Now! programs to program coordinators. Your reports will include valuable insights such as daily and weekly attendance averages, enrollment trends, and program performance metrics.
- Identify & Address Attendance Gaps: Proactively monitor student attendance patterns and identify when "no-show" rates begin to increase. Investigate the root causes and document your findings to help improve program retention.
- Conduct Evening Outreach: Contact parents and guardians during evening hours and weekends to understand why students may not be attending classes. Your empathetic approach will help uncover challenges families face and enable us to provide appropriate support.
- Resolve Issues Efficiently: Handle parent and guardian concerns with professionalism and empathy, ensuring timely resolution that leaves customers satisfied and confident in our programs.
- Maintain Product Knowledge: Develop and maintain a comprehensive understanding of all arenaflex programs, policies, and procedures to address customer queries effectively and accurately.
- Collaborate Across Teams: Work closely with other team members and departments to ensure seamless customer support and coordinated service delivery.
- Document Interactions Thoroughly: Keep detailed and accurate records of all parent/guardian interactions, transactions, comments, and complaints using our customer relationship management systems.
- Stay Current on Policies: Remain informed about company policies, procedures, and program updates to provide families with the most accurate and up-to-date information.
- Meet Performance Goals: Meet or exceed established performance goals and metrics related to customer satisfaction, response times, and enrollment conversions.
What We Are Looking For: Qualifications
Essential Qualifications
- Customer Service Experience: Previous experience in customer service, client relations, or a related field is required. You should be comfortable handling diverse customer interactions with patience and professionalism.
- Excellent Communication Skills: Outstanding verbal and written communication skills are essential. You must be able to convey information clearly, listen actively, and respond empathetically to family concerns.

- Bilingual Proficiency: Must be able to communicate effectively in Spanish (verbally) and possess the ability to read and write in Spanish fluently. This is a critical requirement as you will serve a diverse community of families.
- Evening & Weekend Availability: Must be available to work evenings and weekends, approximately 6-10 hours per week, to accommodate family schedules and conduct outreach when parents are most reachable.
Preferred Qualifications
- Experience working in education, nonprofit, or community service organizations
- Familiarity with school district programs or before/after-school care systems
- Previous experience in enrollment or admissions support roles
- Understanding of San Bernardino County communities and local resources
Position Requirements
- High school diploma or equivalent required; college degree in Education, Communications, or a related field preferred
- Previous experience in a customer service role is advantageous but not required for motivated candidates with the right attitude
- Availability to work flexible hours, including weekends and evenings, with occasional travel to school sites as needed
- Reliable high-speed internet connection and a quiet, professional workspace for remote position responsibilities
- Must be located in California with the ability to serve the San Bernardino City Unified School District community
