ORIX USA is seeking a Japanese bilingual Administrative Assistant to support their senior executives and the CEO Office. The role involves providing high-level administrative support, managing calendars, coordinating travel arrangements, and handling various financial administrative tasks.
Responsibilities
- Provide dedicated support to the senior executives and his team, anticipating needs and ensuring smooth workflow
- Manage calendars, schedule meetings, and coordinate domestic and international travel arrangements
- Handle expense reports, invoices, and other financial administrative tasks
- Answer calls, manage correspondence, and maintain a high level of confidentiality in communication
- Perform general administrative duties including filing, copying, shipping, ordering office supplies, and technology setup
- Organize offsite events and meetings, including venue research, catering, and technology setup
- Prepare and maintain meeting documents, files, and presentations
- Host and coordinate visits of guests and senior executives, including Tokyo HQ representatives
- Serve as backup to other administrative staff as needed
- Provide support during evenings and weekends remotely as needed
Skills
- Bachelor's degree preferred
- 1-3 years of experience preferred
- Fluent in Japanese and English (spoken and written)
- High proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
- Strong judgment, discretion, and confidentiality
- Excellent organizational, communication, and interpersonal skills
- Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced environment
