Kutak Rock is a leading national law firm committed to exceptional client service and a collaborative approach. The Accounts Payable Specialist will support the accurate and timely processing of invoices, ensuring compliance with payment terms and firm policy.


Responsibilities

  • Review vendor invoices, statements, client costs and other documents for accuracy and compliance with firm policies and procedures
  • Enter invoices and client costs into the accounting system
  • Ensure invoices have required approval, payment limits, and backup prior to payment
  • Sort incoming mail, print, copy, mail, and file invoices, checks, and supporting documents
  • Utilize imaging system to store vendor invoices and other supporting documents
  • Record expense and client cost transactions to general ledger
  • Reconcile vendor statements and previous unpaid balances on vendor invoices
  • Review and process expense reports to ensure proper documentation and compliance with firm reimbursement policies and procedures
  • Assist with state use tax compliance and filings
  • Assist with 1099 compliance and reporting
  • Assist with analysis of various client cost recovery items
  • Assist with firm credit card and calling card administration as needed
  • Flexibility to work overtime as needed
  • Assist with other duties as assigned

  • Ability to handle confidential matters with discretion
  • General understanding of accounting practices and principles which includes accounts payable processes and procedures
  • Attention to detail and accuracy in processing financial transactions
  • Ability to effectively communicate, both verbally and written
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment
  • Problem-solving skills and the ability to address payment discrepancies
  • Ability to work independently and collaboratively in a team environment
  • Excellent communication and interpersonal skills while working collegially with clients, attorneys, and staff
  • Excellent computer skills with strong proficiency in Microsoft Office Suite including Outlook, Word, and Excel, experience with accounting software a plus (Aderant)
  • High school diploma or equivalent required
  • 1+ years of relevant experience in accounting, bookkeeping, or cash management in a professional services organization preferred
  • Associate or bachelor's degree in accounting, business, or related field preferred
