Position Overview

As a Remote Customer Service Representative based in Oklahoma, you will be the first point of contact for our members and providers, handling inquiries, resolving issues, and ensuring every interaction leaves a positive impression.

Key Responsibilities
As a valued member of our customer service team, you will be responsible for:
- Maintaining a positive, empathetic, and professional attitude toward customers at all times, ensuring every interaction reflects arenaflex's commitment to excellence.
- Responding promptly to customer inquiries via phone, email, and chat channels, demonstrating efficiency and attentiveness.
- Communicating clearly and professionally with customers through various channels, adapting your approach to meet their unique needs.
- Acknowledging and resolving customer complaints with patience and effective problem-solving skills, turning challenging situations into opportunities for satisfaction.
- Developing an in-depth understanding of our products and services so you can confidently answer questions and provide accurate information.
- Processing orders, forms, applications, and requests with accuracy and attention to detail.
- Maintaining detailed records of customer interactions, transactions, comments, and complaints to ensure continuity of care and quality improvement.
- Collaborating effectively with colleagues across departments to resolve complex issues and provide comprehensive solutions.
- Providing constructive feedback on the efficiency of customer service processes to help improve overall operations.
- Answering questions and resolving issues based on phone calls, letters, and electronic communications from members, providers, and plan sponsors.
- Triaging and routing rework to appropriate team members while maintaining ownership of escalated issues.
- Providing exceptional customer service for high-volume inbound calls, particularly for the Claims Inquiry and Claims Research team.
- Conducting extensive claims research across multiple platforms to assist providers with payment-related questions.
- Offering proactive information to customers, including additional plan details, benefit information, and self-service tools that may enhance their experience.
- Using the customer service threshold framework to make financial decisions that resolve member issues effectively.
- Explaining member rights and responsibilities in accordance with contractual agreements.
- Processing claim referrals, new claim handoffs, nurse reviews, complaints, grievances, and appeals through our target systems.
- Educating and assisting providers on self-service options available to them.
- Supporting providers with credentialing, re-credentialing, and contracting questions and issues.
- Compiling claim data for customer audits and determining medical necessity, coverage provisions, and member plan eligibility.
Required Qualifications
To succeed in this role, you must meet the following requirements:
- Residency: You must live in the state of Oklahoma on a full-time basis. This is a mandatory requirement for this position.
- Technical Proficiency: Familiarity with Microsoft Office products, including Word, Excel, and Outlook, is essential for this role.
- Experience: Previous experience in a highly transactional call center environment is required. You should be comfortable handling high-volume inquiries while maintaining quality standards.
- Skills: Excellent customer service skills and strong critical thinking abilities are a must. You must be able to remain calm under pressure and navigate complex situations with ease.
- Internet Requirements: High-speed internet access of 25 Mbps or higher with a consistent, reliable connection is mandatory.
- Connection Setup: Your work location must be set up with a direct ethernet connection to your router (Wi-Fi is not permitted). arenaflex will provide a 6.5-foot ethernet cord; if your setup requires a longer cable, you will need to provide your own.
- Education: A High School diploma or GED equivalent is required.
Preferred Qualifications
While not required, the following qualifications will help you stand out as a candidate:
- Previous experience in the healthcare or insurance industry
- Associate's or bachelor's degree in a related field
- Additional certifications in customer service or healthcare navigation
- Familiarity with claims processing and medical terminology
- Bilingual capabilities (Spanish/English) are always a plus
Training and Schedule
Upon joining arenaflex, you will participate in a comprehensive 4-week training program conducted virtually. This training will be held between the hours of 8:00 AM and 5:00 PM Central Standard Time. During this period, you will learn about our products, systems, and customer service protocols.
After completing training, your permanent schedule will be Monday through Friday. Your shifts can start as early as 7:00 AM CST and end as late as 7:00 PM CST, providing flexibility to find a schedule that works best for you.
