Position Overview

We are currently seeking a highly motivated and experienced professional to join our Operations team as a Senior Administrative Operations Coordinator. In this pivotal role, you will be responsible for coordinating designated areas of work to achieve business objectives and drive measurable outcomes in terms of revenue, quality, and operational efficiency.

Key Responsibilities
As a Senior Administrative Operations Coordinator at arenaflex, you will play a critical role in driving operational excellence and strategic initiatives across the organization. Your key responsibilities will include:
- Strategic Planning & Execution: Develop and implement strategic approaches to address key business challenges, utilizing both existing resources and innovative ideas. Ensure processes and frameworks align with organizational objectives and stakeholder expectations.
- Cross-Functional Leadership: Serve as a central point of contact for cross-functional teams and key stakeholders. Build and maintain effective working relationships with partners across departments to achieve designated goals and deliver successful outcomes.
- Business Development: Partner with cross-functional teams to interpret and define business needs for your area of responsibility. Develop comprehensive strategies and roadmaps to meet organizational objectives and drive sustainable growth.
- Process Improvement: Analyze existing processes and identify opportunities for optimization. Make recommendations for improving operational efficiency, reducing costs, and enhancing overall business performance.
- Stakeholder Communication: Interface with senior management to stay informed about organizational goals and priorities. Communicate complex information related to technical topics and business initiatives to various audiences.
- Vendor & External Relationship Management: Work with external vendors and third parties to develop and maintain positive, productive relationships. Build and enhance internal and external networks to support business objectives.
- Performance Management: Set financial, operational, and quality goals for your area of responsibility. Develop and direct operational plans to achieve these targets while ensuring alignment with broader organizational strategies.
- Market Analysis: Monitor competitive marketplace trends and make recommendations for adjustments to operational and strategic activities based on identified market intelligence.
- Budget Management: May develop and manage budgets for designated areas of responsibility, ensuring delivery against business goals and objectives while maintaining fiscal responsibility.
- Team Leadership: Lead teams responsible for day-to-day operations. Oversee and coordinate the work of managers, senior managers, and their subordinates. Ensure ongoing training and development of direct reports.
- Mentorship & Development: Coach and develop staff through onboarding, open communication, training, and development opportunities. Foster a diverse and inclusive work environment that promotes employee engagement and retention.
Essential Qualifications
To be successful in this role, you must meet the following requirements:
- Education: Bachelor's degree with a minimum of 6 years of relevant experience OR High School Diploma/GED with at least 9 years of relevant experience in a related field.
- Strategic Relationship Building: Minimum 2 years of experience establishing and maintaining strategic relationships with internal (peers, colleagues, and leadership) and external (business community, clients, and vendors) stakeholders within a matrix organization.
- Strategic Initiative Development: Experience developing strategic initiatives that align with business objectives and budget constraints.
- Problem Resolution: Experience identifying operational issues and recommending and implementing effective solutions to resolve challenges.
- Cross-Functional Leadership: Proven experience leading cross-functional teams and driving collaborative outcomes.
- Executive Communication: Experience interfacing and communicating effectively at the executive level.
- Client-Facing Programs: Experience managing client-facing programs and building strong customer relationships.
- Financial Acumen: At least 5 years of experience contributing to financial decisions in the workplace, including budget management and resource allocation.
- Leadership Experience: Minimum 5 years of direct leadership, indirect leadership, and/or cross-functional team management experience.
- Travel Flexibility: Must be willing to travel up to 15% of the time for business purposes, both within state and out of state.
Preferred Qualifications
While not required, the following qualifications will give you a competitive edge:
- Bachelor's degree in Statistics, Engineering, Computer Science, or Information Systems
- Advanced degree or MBA
- Experience with advanced coding languages (e.g., SAS, SQL, C++, etc.)
- Experience with system integration (e.g., SAP, Vendavo, Vistaar, Salesforce.com, SharePoint, etc.)
- Proficiency with business intelligence tools for data analysis (e.g., Business Objects, Cognos, Tableau, Power BI, etc.)
- Salesforce administrator or developer certification
- Experience in mentoring, coaching, and training less senior colleagues
- Experience designing and executing financial models to support complex business initiatives
- Experience communicating with executive-level leadership both internally and with client organizations
- Project management experience (planning, organizing, and managing resources to achieve specific project goals)
- Experience with systems such as SAP and GIS
- Experience with data extraction, data mining, data acquisition, data profiling, data warehouse management, and statistical concepts
- At least 3 years working in a data warehouse/business intelligence/decision support systems environment, or at least 2 years of IT experience

Compensation & Benefits
We offer a competitive compensation package that reflects your experience, skills, and contributions. The expected salary range for this position is $20-$30 per hour, depending on experience, qualifications, and geographic location.
