Position Overview
We are looking for an experienced Events Coordinator who will be responsible for the development and delivery of exceptional events—from intimate gatherings to large-scale productions—that showcase our incredible content portfolio. This role blends strategic thinking with hands-on execution, requiring someone who can conceptualize innovative event experiences while managing the practical details that make them happen.
You'll be working across both virtual and in-person formats, leveraging the latest tools and technologies to create unique experiences that set arenaflex apart in the entertainment industry. The ideal candidate will be comfortable working in a hybrid or fully remote capacity, with strong organizational skills and a passion for creating moments that resonate with audiences.
Key Responsibilities
As an Events Coordinator at arenaflex, you will play a pivotal role in bringing our content to life through unforgettable events. Your responsibilities will include:
- Creative Conceptualization: Develop innovative event concepts, creative proposals, and detailed quotes that align with our brand vision and content strategy. Brainstorm unique ideas that push boundaries and create lasting impressions.
- Strategic Partnership Development: Collaborate with key stakeholders across various disciplines—including marketing, content, public relations, and creative teams—to align on event objectives and ensure seamless execution.
- Creative Strategy & Problem Solving: Act as a creative strategist and innovative problem solver, finding creative solutions to challenges while maintaining quality and meeting deadlines.
- Cross-Functional Leadership: Serve as the knowledgeable leader on all things events-related, proactively gathering input and perspectives from cross-functional partners including title and market marketing specialists, photography and AV studios, and publishing teams to deliver comprehensive event campaign strategies.
- Experience Creation: Produce creative and high-quality experiences that are consumer-driven and unique to arenaflex, ensuring every event reflects our commitment to excellence and innovation.
- Virtual & Hybrid Event Management: Adapt to hybrid or virtual events with knowledge of what it takes to deliver compelling experiences both online and offline, including familiarity with the latest tools, platforms, and technologies.
- Vendor & Agency Management: Oversee external vendors and agency relationships, ensuring partners deliver on their commitments and maintain quality standards throughout the event lifecycle.
- Resource Acquisition: Provide strategic direction to the team on obtaining venues, vendors, entertainment, and other event-related requirements.
- Project & Budget Management: Demonstrate strong project management, budgeting, and time management skills, working effectively within tight deadlines while optimizing resources for maximum impact.
Essential Qualifications
To succeed in this role, you should have:
- 4+ years of events experience preferably from the media or entertainment industry, including managing, executing, planning, and staffing events at a company, studio, agency, or brand. Experience with film or TV campaign events is a significant plus.
- Self-motivation and independence: Ability to work autonomously and under pressure while consistently exercising good judgment, even when faced with ambiguity or changing priorities.
- Creative strategic thinking: Strong creative analytical skills with the ability to develop innovative solutions and approach challenges from unique angles.

- Regional experience: Experience working in the Asia-Pacific region is an advantage but not required.
