**Responsibilities**
As a Customer Service Representative, you'll be responsible for:
* Organizing office operations and assisting associates in optimizing procedures to ensure efficiency and productivity
* Sorting and distributing communications in a timely manner, ensuring accuracy and validity of information
* Creating and updating records, maintaining confidentiality and discretion when handling sensitive information
* Scheduling and planning meetings and appointments, ensuring seamless coordination with other departments
* Monitoring office supplies and handling shortages, maintaining a well-stocked and organized workspace
* Resolving office-related malfunctions and responding to requests or issues in a timely and professional manner
* Coordinating with other departments to ensure compliance with established policies and procedures
* Maintaining trusting relationships with suppliers, customers, and colleagues through excellent communication and interpersonal skills
* Performing receptionist duties when needed, providing a warm and welcoming experience for our customers and visitors
**Preferred Skills**
We're looking for a candidate with:
* Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
* Knowledge of "back-office" computer systems, including experience with software applications and databases
* Working knowledge of office equipment, including printers, scanners, and photocopiers
* Thorough understanding of office management procedures, including record-keeping and data entry
* Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
* Analytical abilities and aptitude in problem-solving, with a focus on finding creative solutions to complex issues
* Excellent written and verbal communication skills, with the ability to communicate effectively with customers, colleagues, and suppliers
* Proficiency in MS Office, including Word, Excel, and Outlook
* Knowledge of QuickBooks and Excel, with experience in financial management and data analysis
