Position Overview
As a Data Entry Clerk at arenaflex, you will play a critical role in supporting our operations team by maintaining accurate and up-to-date information in our databases. Key Responsibilities
Your day-to-day responsibilities as a Data Entry Clerk will be diverse and engaging. You will be responsible for:
- Documentation Management: Preparing comprehensive documentation for filing and associated correspondence, ensuring all materials meet our rigorous quality standards and regulatory requirements.
- Information Gathering: Obtaining all necessary supporting information and documentation to ensure proper and efficient administration of client files. This includes income verification, tax filings, asset realizations, and other critical documentation.
- Client Communication: Responding in a timely and professional manner to ongoing queries and requests from both creditors and debtors, maintaining positive relationships while facilitating resolution.
- Cross-Functional Collaboration: Liaising effectively with the administration team, including assisting with information gathering, documentation collection, and following up on complex issues requiring input and interpretation.
- Database Management: Utilizing Microsoft Dynamics CRM to extract file details and information, ensuring data integrity and accessibility across the organization.
- File Review and Quality Assurance: Preparing and reviewing files for completeness, systematically following up on outstanding documents to ensure every file meets our comprehensive standards.
- Issue Resolution: Working directly with internal clients to clarify information and resolve issues efficiently, demonstrating strong problem-solving skills and interpersonal abilities.
- Document Organization: Organizing file documents in strict accordance with our naming protocols, creating a systematic and searchable repository of client information.
- Financial Calculations: Performing calculations for income and surplus income obligations with precision and attention to mathematical accuracy.
- Regulatory Compliance: Understanding and applying relevant legal requirements across multiple provincial jurisdictions, ensuring all activities comply with applicable laws and regulations.
- Searches and Research: Performing comprehensive searches including insolvency searches, Personal Property Security Act registrations, house valuations, and computation of realizable value to support file processing.
- Document Creation: Creating all documents required for client signatures, ensuring accuracy and completeness in every document produced.
- Compliance Review: Reviewing sign-up documents for accuracy and policy compliance, then filing documents with the Official Receiver in a timely manner.
- Data Migration: Accurately transferring pertinent information from written and scanned records into Ascend, our internal software system, maintaining data integrity throughout the migration process.
- Confidentiality Maintenance: Maintaining client confidence and protecting operations by keeping all information strictly confidential, adhering to our robust data protection policies.
- External Client Relations: Liaising with external clients for clarification or outstanding documentation needs, representing arenaflex professionally in all interactions.
- Electronic Filing: Performing electronic filing of statutory documents with precision and attention to regulatory requirements.
- Digital Document Preparation: Preparing documents for DocuSign, ensuring smooth and efficient digital signature processes.
- Proposal Review: Reviewing amended proposals with a keen eye for detail and policy compliance.
- Additional Duties: Contributing to team success by assisting with other tasks as needed, demonstrating flexibility and a collaborative spirit.
Essential Qualifications
To succeed in this role, you will need:
- Proven Data Entry Experience: Demonstrated experience performing data entry with a proven track record of maintaining high levels of accuracy (95% or above accuracy rate preferred).
- Exceptional Attention to Detail: You must be extremely detail-oriented, with the ability to identify discrepancies and ensure precision in all aspects of your work.
- Strong Organizational Skills: Excellent organizational and prioritization skills, with the ability to manage multiple files and deadlines simultaneously without sacrificing quality.
- Technical Proficiency: Proficient technical skills and familiarity with Microsoft Office applications (Outlook, Excel, Word). You should be able to learn new computer software quickly and adapt to evolving technology platforms.
- CRM Experience: Experience with Microsoft Dynamics CRM would be considered an asset, though comprehensive training will be provided.
- Independent Work Capability: Able to work independently and efficiently with minimal supervision, managing your time effectively to meet deadlines and productivity goals.
- Communication Excellence: Strong written and verbal communication skills to convey information clearly and professionally to colleagues, clients, and external stakeholders.
