Position Overview
As a Customs Trade Coordinator at arenaflex, you will play a critical role in ensuring smooth and compliant international shipping operations. You will be responsible for managing customs documentation, coordinating with government agencies, and ensuring that all import and export activities adhere to regulations. Key Responsibilities
As a Customs Trade Coordinator, you will be tasked with a variety of responsibilities that are essential to our operations. Your daily duties will include:
- Client Service Excellence: Provide exceptional customer service to internal and external clients, addressing inquiries promptly and professionally. Build and maintain strong relationships with customers to ensure their needs are met and exceeded.
- Customs Documentation Management: Accurately retrieve and organize goods information for customs release from databases, standard operating procedures (SOPs), duty books, websites, and customs authorities. Ensure all documentation is complete, accurate, and submitted on time.
- Data Entry and Processing: Perform data entry and processing of various import-related documentation for submission to US Customs and other Participating Government Agencies (PGAs). Maintain meticulous records to ensure compliance with all regulatory requirements.
- Record Keeping and Compliance: Maintain and keep current all shipment documentation in full compliance with record-keeping requirements. Ensure all files are properly organized, accessible, and meet legal and regulatory standards.
- Regulatory Adherence: Comply with all international importing and exporting regulations, including customs laws, trade agreements, and industry standards. Stay updated on changes in regulations and implement necessary adjustments to operations.
- Cross-Functional Collaboration: Work closely with internal staff, departments, other arenaflex operations, and clients to deliver a high level of service. Collaborate effectively to resolve issues, share information, and ensure seamless operations.
- Brokerage Shipment Processing: Process company brokerage shipments efficiently and accurately. Manage the movement of goods through customs, ensuring timely clearance and delivery.
- Remote Filing Management: Handle remote filings as required, ensuring all documentation is submitted correctly and in accordance with regulations.
- Policy Compliance: Ensure all departmental and organizational policies are followed meticulously. Adhere to safety, security, and operational guidelines at all times.
- Additional Duties: Perform other or additional duties as assigned by management. Be flexible and willing to take on new challenges as the role evolves.
Qualifications and Requirements
Essential Qualifications
- Education: High School Certificate or GED required. A Bachelor's Degree is preferred and will be considered a strong advantage.
- Experience: No prior industry experience is required, making this an excellent entry point into the logistics and trade compliance field. However, a minimum of six months of work experience is preferred and will be valued.
- Technical Skills: Proficiency in data entry and keyboard skills is required. Must be comfortable working with various software applications and systems.
- Computer Skills: Strong working knowledge of MS Office applications (Word, Excel, Outlook) is required. Familiarity with office equipment including telephone, fax, scanner, printer, and copier is essential.
- Communication Skills: Excellent interpersonal skills, both verbal and written. Ability to communicate clearly and professionally with clients, colleagues, and government agencies.
Preferred Qualifications
- Previous experience in logistics, shipping, or customs brokerage is highly desirable but not mandatory.
- Knowledge of international trade regulations and customs procedures is a plus.
- Familiarity with customs clearance systems and software is advantageous.
- Experience working in a high-volume, fast-paced environment.
