What You'll Do
As a Data Entry Clerk at arenaflex, you will be the backbone of our administrative operations, ensuring that our sales team has access to accurate, up-to-date information to serve our clients effectively. Your attention to detail and organizational skills will directly impact our team's efficiency and customer satisfaction. Here's what you can expect in this role:
- Data Management & Entry: Input text-based and numerical information from various source documents into our digital systems with precision and accuracy. You'll be responsible for maintaining clean, organized databases that the entire team can rely on.
- Spreadsheet Creation & Maintenance: Create and manage spreadsheets to track important customer information, sales leads, policy details, and other critical business data. You'll ensure these documents are well-organized and easily accessible.
- Database Optimization: Transfer data to digital databases and ensure seamless integration across all platforms. This includes proper categorization, tagging, and indexing of information for easy retrieval.
- Email Communication Scheduling: Schedule email blasts and communications to maintain consistent client engagement. You'll work closely with the marketing and sales teams to ensure timely delivery of important updates.
- Data Verification & Cleanup: Review existing data for deficiencies or errors, verify outdated information, and perform necessary corrections to maintain data integrity. This includes cross-referencing multiple sources to ensure accuracy.
- File Investigation & Research: Search for and investigate information contained in files, resolve discrepancies, and gather additional details as needed to complete records accurately.
- Quality Assurance: Perform regular data integrity checks and implement improvements to our data management processes. You'll identify patterns in errors and suggest solutions to prevent future issues.
- Documentation Support: Assist in organizing and maintaining physical and digital file systems, ensuring compliance with company standards and regulatory requirements.
What We're Looking For
Essential Qualifications
- High school diploma or equivalent; additional administrative or data entry certification is a plus.
- Proven experience in data entry or administrative support roles, preferably in the insurance or financial services industry.
- Exceptional typing speed and accuracy, with a minimum of 45-50 words per minute.
- Strong attention to detail and ability to identify errors or inconsistencies in data.
- Proficiency in Microsoft Excel, including formulas, spreadsheets, and data management features.
- Working knowledge of Outlook for email communication and scheduling.
- Familiarity with Google Sheets and cloud-based collaboration tools.
- Excellent time management skills with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills.
