About This Opportunity
The Virtual Customer Care Representative at arenaflex plays a pivotal role in ensuring that our homeowners receive the exceptional service they deserve. This onsite position in Chantilly, VA is responsible for managing and overseeing homes under warranty in assigned communities. You'll be the primary point of contact for homeowners, coordinating with trade partners, and ensuring that every aspect of the customer experience meets arenaflex's high standards.

What You'll Do: Key Responsibilities
As a Virtual Customer Care Representative at arenaflex, your responsibilities will be diverse and impactful. Here's what you can expect in this role:
- Customer Relationship Management: Promote, facilitate, and foster positive working relationships with arenaflex homeowners and trade partners. You'll be the face of arenaflex to our customers, ensuring their needs are met with professionalism, empathy, and efficiency.
- Judgment and Discretion: Regularly exercise sound judgment and discretion when working with homeowners and trade partners. You'll handle delicate situations with care, finding solutions that satisfy all parties while maintaining arenaflex's reputation for excellence.
- Trade Partner Coordination: Manage daily trade partner activities in accordance with job schedules and business partner scopes of work as they relate to customer relations. Ensure that all work is completed to arenaflex's standards and within acceptable timeframes.
- Financial Approvals: Approve trade partner invoices upon satisfactory completion of the job, with authority not to exceed $1,250. This responsibility requires attention to detail and understanding of quality standards.
- Proactive Issue Resolution: Proactively remedy any trade partner scheduling, communication, or payment related issues before they escalate. Your proactive approach will prevent problems and ensure smooth operations.
- Product Knowledge: Ability to understand manufacturer recommendations for use and application of their products. This knowledge allows you to guide homeowners properly and ensure that any issues are addressed correctly.
- Client Meetings: Supervise and/or conduct pre-closing meetings, home demonstrations, celebration events, and 30-day post-close visits. These interactions are crucial for customer satisfaction and loyalty.
- Quality Certification: Review and certify the completion of each home within their community. Your stamp of approval ensures that every arenaflex home meets our rigorous quality standards.
- Community Oversight: Manage, supervise, and direct all aspects of customer relations for an assigned community. You'll be the go-to person for all homeowner concerns and questions.
- Cross-Functional Collaboration: Conduct field meetings with trade partners, construction staff, and sales staff as needed to ensure seamless operations and customer satisfaction.
- Community Expertise: Be an expert in the community and surrounding area, including knowledge of HOA fees and rules, schools, restaurants, shopping, and local amenities. This information is invaluable to new homeowners settling into the area.
- Property Maintenance: Supervise, review, and resolve the condition of their community, including entry features, road and pond maintenance, common areas, model centers, and signage. Your attention to detail keeps our communities looking their best.
What We're Looking For: Requirements & Qualifications
Essential Requirements
- High School Diploma or equivalent required, or equivalent work experience demonstrating relevant skills
- Minimum 3 years of experience in directing, coordinating, and supervising work, particularly in a customer-facing role with a homebuilder
- Valid Driver's License with a good driving record—you'll need to travel within the community and surrounding areas
- Valid auto insurance coverage as required for position responsibilities
- Advanced knowledge of scheduling, budgeting, and document management
- Ability to read and interpret blueprints—a fundamental skill for understanding home construction and warranty issues
- Computer literacy and proficiency in MS Office products (Word and Excel)
- Excellent follow-up, communication (written and verbal), and time management skills
Preferred Qualifications
- Bachelor's degree in a related field such as Business Administration, Construction Management, or Communications
- Previous experience in the homebuilding industry, specifically in customer care or warranty management
- Knowledge of construction terminology and building codes
