About the Job:
  • We are seeking a highly organized and reliable virtual assistant to support the Executive of a growing restaurant group operating multiple locations across the United States.
  • This role works directly with company leadership to help coordinate operations, manage internal processes, and ensure important tasks across departments are completed accurately and on time.
  • This is not a basic virtual assistant position. We are looking for someone who is proactive, organized, and capable of managing multiple responsibilities in a fast paced environment.
  • This role works closely with company leadership and requires strong organizational skills and high ownership.
  • This is a long term opportunity with a stable company that values professionalism, accountability, and growth.

Responsibilities:
  • Coordinate daily operational tasks across departments.
  • Track important deadlines including licensing, vendor contracts, and compliance items.
  • Organize and maintain digital files and documents.
  • Communicate with vendors, service providers, and internal staff.
  • Prepare summaries, reports, and documentation when needed.
  • Assist leadership with operational follow up and task coordination.
  • Monitor emails and ensure important requests are addressed.
  • Maintain organized records across multiple business locations.
  • Support ongoing operational projects and improvements.
  • Be comfortable making phone calls to vendors, offices, and service providers when needed.

Training:
  • You will be trained from the bottom up on our systems, procedures, and processes.
  • We provide clear instructions, video guides, and structured training so you can fully understand how the business operates.
  • The goal is to help you grow into the role and become confident managing responsibilities independently over time.

Ideal Candidate:
  • Highly organized and detail oriented.
  • Strong written and verbal English communication.
  • Comfortable working independently and managing multiple tasks.
  • Professional and dependable.
  • Comfortable speaking on the phone when needed.
  • Able to follow structured processes while also thinking critically.
  • Comfortable coordinating with vendors and team members.
  • Strong sense of accountability and ownership.

Requirements:
  • Reliable high speed internet connection.
  • Quiet and professional home workspace.
  • Experience supporting executives, operations teams, or administrative leadership preferred.
  • Strong computer skills and ability to learn systems quickly.
  • Ability to work during U.S. business hours.

Schedule:
  • Monday through Friday.
  • U.S. Eastern Standard Time business hours. 8:00 to 5:30 EST

Compensation:
  • Competitive monthly salary based on experience.

  • Growth path available to Senior Operations Coordinator or Executive Assistant.
