Harlem Children's Zone (HCZ) is a world-renowned education and poverty-fighting organization based in New York, seeking a proactive Talent Acquisition Coordinator to join their team. This role is essential in managing end-to-end recruiting operations and ensuring a positive experience for candidates and internal stakeholders.


Responsibilities

  • Schedule all phone screens, panel interviews, demo lessons, and debriefs for Promise Academy and HCZ roles
  • Manage reschedules, Zoom links, room bookings, and distribution of interview materials
  • Send confirmation and reminder emails to candidates and interviewers
  • Track panelist availability and propose interview blocks for high-volume roles
  • Monitor completion of interview feedback in Workable within required timelines
  • Send reminders to interviewers who have not submitted scorecards/hiring rubric
  • Create and update requisitions in Workable for Promise Academy and HCZ positions
  • Post and maintain roles across all recruitment platforms
  • Ensure accuracy of job titles, salary ranges, EEO statements, and branding
  • Close roles and clean up old or duplicate postings
  • Maintain the job description and template library
  • Send all standardized application status updates
  • Provide Promise Academy and HCZ candidates with clear instructions for demo lessons/teaching samples & required forms or documents (transcripts, certifications, etc.)
  • Pull and organize reference checks and background check materials (in partnership with HR)
  • Pull monthly TA metrics for Promise Academy and HCZ
  • Maintain pipeline trackers for high-volume roles (teachers, after‑school, etc.)
  • Support hiring events, including virtual info sessions, interview days, and career fairs
  • Help build and maintain talent pools in Workable through tagging and status updates

Skills

  • Bachelor's degree preferred; equivalent experience considered
  • 1-2 years of experience in recruitment coordination, HR operations, or administrative support
  • Experience using an applicant tracking system (ATS); Workable experience a plus
  • Exceptionally organized with strong attention to detail and follow-through
  • Skilled at managing high-volume scheduling, shifting priorities, and tight deadlines
  • Strong communicator with a customer-service mindset; able to deliver clear and timely updates to candidates and staff
  • Comfortable navigating systems and tools (ATS, Zoom, Microsoft Office/SharePoint, calendars)
  • Able to maintain confidentiality, professionalism, and discretion at all times
  • A proactive problem solver who anticipates needs and prevents last‑minute issues
