This is a remote position.
The Senior Order Entry Specialist is responsible for managing complex, high-volume order processing while ensuring accuracy, compliance, and timely fulfillment. This role serves as a subject matter expert (SME) for order management systems and business processes, supports cross-functional collaboration, and drives continuous improvement initiatives to enhance operational efficiency and customer satisfaction.
Key Responsibilities
- Order Management & Processing
- Accurately enter, review, and validate customer orders in ERP/CRM systems.
- Verify pricing, contracts, discounts, credit limits, tax calculations, and shipping terms.
- Process EDI, online portal, and manual purchase orders.
- Manage order modifications, returns (RMAs), and back-orders.
- Monitor order lifecycle from entry through shipment and invoicing.
- Ensure compliance with company policies, regulatory requirements, and customer agreements.
- Issue Resolution & Customer Support
- Investigate and resolve order discrepancies, pricing conflicts, and shipment delays.
- Communicate proactively with customers and internal teams regarding order status.
- Escalate critical issues and provide timely resolution to minimize business impact.
- Support key accounts and strategic customers with complex order requirements.
- Cross-Functional Collaboration
- Work closely with Sales, Finance, Credit, Warehouse, Supply Chain, and Logistics teams.
- Coordinate product availability, shipping schedules, and billing accuracy.
- Assist Finance with invoice validation and dispute resolution.
- Provide documentation for audits and compliance reviews.
- Process Improvement & Reporting
- Identify inefficiencies and recommend workflow improvements.
- Develop and maintain SOPs (Standard Operating Procedures).
- Track KPIs such as order accuracy rate, turnaround time, backlog volume, and fulfillment metrics.
- Generate and analyze reports using Excel or reporting tools.
- Participate in system upgrades, testing, and ERP implementations.
- Requirements
- 3+ years of experience in order processing, order management, or customer operations.
- Advanced proficiency in ERP systems (SAP, Oracle, NetSuite, Microsoft Dynamics, etc.).
- Strong understanding of pricing structures, contracts, and billing procedures.
- High attention to detail with strong analytical skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Advanced Microsoft Excel skills (VLOOKUP/XLOOKUP, PivotTables, reporting).
