About the Role

As a Remote Premium Audit Customer Service Representative at arenaflex, you will serve as the primary point of contact for support and service related to commercial audits. This role requires a unique blend of technical knowledge, exceptional communication skills, and the ability to navigate complex customer requests with professionalism and efficiency. You will be responsible for addressing questions and concerns from policyholders, agents, and business partners in an accurate and timely manner, ensuring that every customer receives the high-quality service they deserve.

Your daily responsibilities will involve collecting, sending, and routing forms and documentation necessary to assist customer requests. You will provide support across a highly diverse cross-functional product set, technology platforms, and applications – meaning no two days will be exactly alike. This role offers an exciting opportunity to develop a broad understanding of the insurance industry while building expertise in premium audit processes.

Key Responsibilities

  • First Point of Contact: Serve as the initial contact for routine customer requests and queries related to audits, requiring extensive phone and email interaction with policyholders, agents, and third parties. You will be the friendly voice and helpful resource that customers turn to when they need assistance.

  • Relationship Building: Establish and maintain professional relationships with both external and internal customers while developing a deep understanding of their unique service needs. Your ability to listen actively and respond empathetically will be key to your success.

  • Cross-Functional Coordination: Coordinate request activities with various departments to ensure efficient and quality service, including but not limited to Underwriting, Billing, Premium Audit, and Claims. You will serve as a bridge between customers and internal teams, facilitating seamless communication and resolution.

  • Research and Resolution: Complete basic research around customer queries and requests. If unable to resolve a request independently, you will identify and engage the appropriate department, individual, or escalation path to ensure timely resolution.

  • Documentation and Workflow: Route requests and submissions using appropriate systems for assignment and resolution. Maintain accurate and timely documentation of all required transactions and customer interactions. Proactively identify gaps in workflow and make recommendations for improving processes.

  • Performance Excellence: Uphold our customer care standards by achieving individual goals such as work quality, phone and email handle time, adherence, and reliability. Your dedication to excellence will directly impact customer satisfaction and team success.

Work Schedule and Availability

Our hours of operation are Monday through Friday, 8:00 AM to 8:00 PM EST. We need our team members to be flexible to work within the hours of operation, as well as some holidays. This flexibility allows us to provide exceptional service to our customers across different time zones and ensures that we meet their needs when they need us most.

Important Note: Attendance is critical to your success and is 100% mandatory for the duration of training. Your participation, performance, schedule adherence, and attendance will be continually assessed throughout training and throughout your entire career at arenaflex. We invest heavily in your training and development, and in return, we expect a commitment to excellence and reliability.

Qualifications

To excel in this role, you should possess the following qualifications:


  • Experience: Minimum of 1-2 years of relevant customer service or administrative experience is preferred. Previous experience in insurance, finance, or a related field is a plus but not required – we provide comprehensive training to help you succeed.

  • Communication Skills: Excellent oral, written, and interpersonal communication skills are required. You must be able to communicate effectively with individuals at all levels within and outside the organization. A positive, professional demeanor is essential.

  • Multitasking Abilities: You must have the capacity to multitask in a fast-paced, structured teamwork environment. The ability to juggle multiple priorities while maintaining attention to detail is crucial for success in this role.

  • Technical Proficiency: Intermediate level of skill required to open, create, and modify various documents using the Microsoft Office suite (documents, spreadsheets, email, etc.) and enter/retrieve information using various applications and systems.

  • Knowledge Application: Ability to effectively exchange routine and non-routine information verbally and in writing and apply knowledge of the department's policies and procedures. You should be comfortable learning new systems and adapting to changing processes.

This is a remote position, and we are excited to offer you the flexibility of working from home. To ensure success in this role, you must be able to acquire and maintain company and department Work at Home (W@H) requirements, which include:


  • A dedicated room with a desk in a safe, quiet, and professional working environment

  • Wired high-speed internet connection with a minimum of 25 MBps Download speed and 5 MBps Upload speed through a cable, fiber, or DSL service

  • The ability to maintain a distraction-free workspace that supports focused, productive work

We provide the technology and resources you need to succeed, but you are responsible for maintaining your home office environment to our standards.
