The Operations Lead is responsible for overseeing the end-to-end journey of client engagements and leading talent acquisition efforts to support the team's growth.


Responsibilities

  • Oversee R&D studies from initiation to final delivery, focusing on a strict 30-day report turnaround
  • Partner with accounting to manage invoicing, ensuring accuracy and maintaining AR targets of < 30 days
  • Oversee the progression of R&D studies from initiation through final report delivery
  • Track project timelines and ensure deadlines are met, with a focus on 30-day report turnaround
  • Review and finalize reports to ensure completeness and quality standards are met
  • Monitor and update Align Scoreboard Key Performance Indicators (KPIs) to ensure our KPIs and SMART goals are accurately reflected and met
  • Collaborate with cross-functional teams to support workflow efficiency and project success
  • Identify bottlenecks and implement scalable improvements to enhance the client experience and internal efficiency
  • Provide operational support to team members as needed to achieve company objectives
  • Manage job postings, screen incoming resumes, and coordinate the interview pipeline to ensure we bring in top-tier "Team Members."
  • Design and execute a seamless onboarding process that ensures new hires have the tools, training, and cultural immersion they need to succeed from Day 1
  • Maintain internal SOPs and training materials, acting as the primary resource for team administrative needs

Skills

  • 1–3 years of experience in operations, project coordination, or a related field
  • Direct experience in recruiting coordination or HR administration
  • Strong organizational and time management skills with the ability to manage multiple projects simultaneously
  • Excellent attention to detail and commitment to accuracy
  • Exceptional written and verbal communication skills; you must be able to represent Acena professionally to both high-level clients and potential job candidates
  • Ability to work collaboratively in a fast-paced, team-oriented environment
  • The ability to vet candidates not just for skills, but for 'culture fit' within our enthusiastic and supportive team environment
  • Ability to pivot quickly between technical project tracking and people-focused tasks (like interviewing or onboarding)
  • Proficiency in project management and CRM tools (e.g., Asana, HubSpot, QuickBase)
  • Strong problem-solving skills with a proactive approach to identifying solutions
  • Commitment to delivering a high-quality client experience
  • A willingness to 'wear many hats' as the company grows and evolving business needs arise
  • 1–3 years of experience in operations, project coordination, or a related field preferred
  • Direct experience in recruiting coordination or HR administration is highly preferred
