Position Overview
Are you detail-oriented, organized, and passionate about supporting community services? arenaflex is currently seeking a dedicated and reliable Energy Services Data Entry Clerk to join our growing team in a fully remote work-from-home capacity. In this vital role, you will play a crucial part in maintaining organized and up-to-date digital files to support the day-to-day operations of our Energy Services Programs. Your meticulous attention to detail and commitment to accuracy will directly impact our ability to serve vulnerable populations effectively and efficiently.

Key Responsibilities
As an essential member of our Energy Services team, the Data Entry Clerk will be responsible for the following duties:
- Data Management: Input and maintain updated client status records in the Statewide Client Service Center, ensuring the current production pipeline is accurately reflected at all times. You will be responsible for entering new client information, updating existing records, and verifying data integrity across multiple systems.
- Communication Monitoring: Monitor emails, logging documents, and all communications in the Monday.com platform promptly upon receipt. You will serve as a critical link in our communication chain, ensuring that important information flows smoothly between team members, clients, and external partners.
- Database Compliance: Follow program guidelines meticulously for the use of all required database systems, including but not limited to Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other systems as assigned. You must maintain a thorough understanding of each system's protocols and ensure compliance with all data entry standards.
- File Organization: Maintain organized digital and paper participant files in accordance with strict program guidelines, ensuring full compliance with both agency and funder requirements. This includes proper categorization, secure storage, and regular file audits to identify and resolve any discrepancies.
- Team Collaboration: Collaborate closely with program staff to support, enhance, and promote communication and consistency in the delivery of services. You will participate in team meetings, share insights on process improvements, and work collectively to achieve program goals.
- General Clerical Support: Assist with various clerical duties, including but not limited to filing, mailings, phone coverage, and document preparation. Flexibility and a willingness to take on diverse tasks are essential for success in this role.
- Remote Availability: Maintain consistent availability for remote work, including attending virtual meetings, responding to emails promptly, and conducting regular duties as needed. You must have a reliable internet connection and a dedicated workspace free from distractions.
- Professional Development: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings. Participate in mandatory agency training and other relevant professional development activities to enhance your skills and knowledge.
- Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, handling sensitive client information with the highest level of professionalism and security awareness.
- Additional Duties: Perform related work as required, adapting to the evolving needs of the program and organization.
Required Qualifications and Skills
Education and Experience
- Education: Associate degree or equivalent professional experience. We welcome candidates from diverse educational backgrounds who can demonstrate the necessary skills for this role.
- Experience: Minimum of two years of experience in Human Services or a related field, OR applicable work experience working with diverse individuals and families with low incomes. We value practical experience and understand that relevant skills can be developed through various pathways.
- Substitution Policy: Additional appropriate education may be substituted for experience, and additional directly related experience may be substituted for education. We encourage all qualified candidates to apply, even if they do not meet every single requirement.
Preferred Qualifications
- Bilingual Skills: Proficiency in Spanish is strongly preferred. Given the populations we serve, bilingual team members are invaluable in ensuring effective communication and culturally competent service delivery.
- Technical Proficiency: Familiarity with database management systems, CRM platforms, and Microsoft Office Suite applications.
- Remote Work Experience: Prior experience working remotely or from home is highly desirable, demonstrating the ability to self-manage and maintain productivity in a distributed work environment.
