U.S.-based private charter operator managing a fleet of business jets operating throughout the United States, Mexico, the Caribbean, Canada, and Bermuda.

We are seeking a skilled Remote Aviation Flight Following Assistant, preferably with a background in piloting or dispatching. Your role will involve monitoring flight progress, ensuring compliance with flight plans, and providing support to pilots in real-time. The ideal candidate will be detail-oriented, possess excellent communication skills, and have a strong understanding of aviation operations. This role supports flight operations but does not exercise operational control.

This position functions as an operations support assistant to the Director of Operations, helping ensure every flight is tracked, coordinated, and supported.

This is not a general virtual assistant role — we are looking for someone with real aviation knowledge.

Key Responsibilities

Flight Following Support

Monitor Ventura aircraft during operations and report key updates.

Tasks include:

  • Track departures and arrivals
  • Monitor flight progress and ETA updates
  • Identify delays or operational changes
  • Notify operations of schedule disruptions
  • Maintain live aircraft tracking dashboards

Weather Awareness

Assist with monitoring weather that may impact flights.

Examples:

  • Monitor METARs and TAFs
  • Flag potential weather risks
  • Identify alternate airport concerns
  • Alert operations to developing weather systems

Vendor Coordination

Assist with confirming trip logistics.

Examples:

  • Confirm FBO handling
  • Verify fuel arrangements
  • Confirm catering orders
  • Confirm crew hotels and transportation
  • Follow up on outstanding services

Flight Operations Support

Support the operations team with daily tasks such as:

  • Monitoring NOTAM changes
  • Tracking aircraft schedule changes
  • Following up with vendors
  • Updating trip notes and logs

Ideal Candidate Background

Strong preference for candidates with:

  • Pilot training (student pilot / private pilot / commercial pilot)
  • FAA or ICAO dispatcher training
  • Aviation management degree
  • Airline operations experience
  • Charter operations experience
  • Flight planning company experience

Aviation Knowledge Required

Candidates should already understand:

  • METAR / TAF weather reports
  • Airport operations and FBO services
  • Flight planning basics
  • Aircraft turnaround process
  • Charter operations workflow

Software Experience (Preferred)

Experience with any of the following is helpful:

  • FlightAware
  • FlightRadar24
  • ForeFlight
  • SkyVector
  • Aviation Weather Center
  • JetInsight or other aviation scheduling software
  • Microsoft Teams
  • Excel / Google Sheets

Work Schedule

Candidates must be available during U.S. operations hours.

Typical shifts may align with:

US Central Time

Some weekend monitoring may be required.

Compensation

Competitive hourly rate depending on experience.
