Title: Real Estate Automation Specialist (AI + Deal Pipeline System)

Description:

I am building a real estate acquisition business focused on purchasing 10–20 properties over the next 6 months in Midwest markets (primarily Cleveland, OH). I am looking for a high-level automation specialist to design and implement a clean, efficient, and scalable deal acquisition system.

This is not a generic automation project. I need someone who understands how real estate deal flow works and can translate that into a streamlined system using no-code/low-code tools.

Project Objective:

Build a fully functional system that allows me to:

  • Source and track real estate deals daily
  • Filter deals based on defined buy box criteria
  • Analyze and underwrite deals quickly
  • Send deals to property managers for validation
  • Track deal status from initial lead to offer and closing
  • Automate communication and workflow where appropriate

Scope of Work:

1. Deal Intake & Pipeline

  • Integrate data from platforms such as PropStream, DealMachine, or manual input
  • Create a centralized dashboard (Airtable or Google Sheets)
  • Track deal stages (New Lead → Reviewing → PM Review → Underwriting → Offer → Under Contract → Closed)

2. Automation (Zapier or equivalent)

  • Automate deal entry into dashboard
  • Trigger emails/messages to property managers when deals are marked for review
  • Track responses and update deal status
  • Automate internal notifications and summaries

3. AI Integration

  • Implement ChatGPT (or similar) prompts for deal underwriting
  • Assist in evaluating rent ranges, basic ROI, and deal viability
  • Provide simple deal scoring (e.g., Strong / Review / Pass)

4. Workflow Optimization

  • Ensure the system is simple, fast, and easy to use daily
  • Minimize manual input wherever possible
  • Design for scalability (this will grow to 20+ properties quickly)

Requirements:

  • Strong experience with Zapier (or similar automation tools)
  • Experience with Airtable or Google Sheets as a CRM/dashboard
  • Familiarity with API integrations
  • BONUS: Experience working with real estate investors, property data, or deal pipelines
  • Ability to think like an operator, not just a developer

What I’m NOT looking for:

  • Over-engineered custom software
  • Complex coding solutions
  • Generic automation with no understanding of real estate

Budget & Timeline:

  • Initial build budget: $2,000 – $3,000
  • Timeline: 5–7 days for MVP system
  • Opportunity for ongoing work and system expansion after initial build
