Title: Program Coordinator
Report to: Senior Manager, IT PMO, IT Stratagy &Shared Services
Location: Remote
Role Overview
The Program Coordinator serves as a strategic partner to Senior Manager, IT PMO and a central coordinator for the Office of the CTO (OCTO). This role drives governance, operational rigor, and cross-functional coordination across large-scale transformation programs and core technology operations.
This position ensures visibility, consistency, and execution discipline across project managers, tools, processes, and operational activities—enabling leadership to effectively manage priorities, risks, and outcomes.
Key Responsibilities:
Program Governance & Execution
Support governance frameworks (SteerCo, workstream cadences, status reporting, decision forums)
Coordinate across project managers to align ways of workings, timelines, and resources
Monitor and report on program-level RAID (risks, actions, issues, dependencies)
Prepare executive-ready status reports, dashboards, and leadership materials
Ensure follow-through on action items, decisions, and escalations
PMO and Program Management Standards, Tools & Process Discipline
Drive consistency in project management practices across programs and teams
Assist in improving and maintaining project management templates (status reports, dashboards, RAID logs, project plans, cutover plans, steerco decks, roadmap views)
Champion adoption and effective use of tools
Establish and reinforce operating rhythms and governance routines
Identify and implement process improvements to enhance efficiency and scalability
Support to Program Leadership
Act as a trusted partner to the Program Leader, anticipating needs and priorities
Synthesize complex information into concise, executive-ready insights
Coordinate leadership cadences, meeting prep, and follow-ups
Support strategic initiatives, special projects, and ad hoc requests
Ensure continuity, organization, and momentum across high-priority efforts
Technology Operations & Cross-Functional Coordination
Act as a central coordination point across Technology, Finance, Procurement/VMO, and program teams
Support resource planning (capacity tracking, onboarding/offboarding, contractor coordination)
Partner with IT Finance on budget tracking, spend visibility, forecasting, and invoice management
Coordinate vendor/contract workflows (SOWs, renewals, approvals, documentation)
Track key deliverables, dependencies, and deadlines across initiatives
Communication & Executive Enablement
Develop technology communications (leadership updates, newsletters, organizational messaging, presentation decks)
Support planning and execution of leadership meetings, town halls, and operational forums
Qualifications
3–6+ years in program coordination, PMO, or technology operations roles
Experience supporting large-scale transformation programs preferred
Strong organizational skills with exceptional attention to detail
Proven ability to coordinate cross-functional work and drive follow-through
Advanced proficiency in Microsoft 365 (Excel, PowerPoint, Teams, SharePoint)
Experience with budgeting, vendor coordination, or resource planning is a plus
Strong communication skills with ability to create executive-ready materials
