About the Role

We're looking for a detail-oriented Medical Administrative Assistant to support our clinic's vaccination program. You'll be the backbone of our scheduling, insurance verification, and patient communication, keeping everything running smoothly from a remote setup. If you're organized, calm under pressure, and comfortable in a fast-paced medical environment, this one's for you.





Core Responsibilities

Appointment Scheduling



  • Schedule and coordinate vaccine and check-up appointments based on patient needs


  • Manage daily calendars, reschedule as needed, and notify patients promptly


  • Optimize appointment availability using scheduling tools


Insurance Verification



  • Call insurance providers to verify patient eligibility and vaccine coverage


  • Communicate coverage details and out-of-pocket costs clearly to patients


  • Document all verification details accurately in patient records


Patient Communication



  • Answer patient questions about vaccine schedules, eligibility, and what to expect


  • Provide post-vaccination instructions and follow-up reminders


  • Handle all vaccine-related inquiries in a professional and friendly manner


Records & Documentation



  • Update patient records in EHR/EMR systems with accurate, complete information


  • Enter vaccine administration details, including type, date, and dosage


  • Maintain organized digital files and ensure all documentation is up to date


General Administrative Support



  • Respond to emails, calls, and patient inquiries efficiently


  • Prepare reports and maintain an organized workflow in a remote setting


  • Keep digital filing systems clean and easy to navigate






Candidate Qualifications

Must-Haves



  • 2–3 years of experience in a medical administrative role


  • At least 2 years of hands-on experience calling insurance companies for eligibility and coverage verification


  • Familiarity with common vaccines, vaccine schedules, and patient eligibility guidelines


  • Experience with EHR/EMR systems and scheduling software


  • Strong attention to detail and data entry accuracy


  • Clear communicator, both written and verbal


Good to Haves



  • Background in a clinical or immunization-focused setting


  • Familiarity with vaccine coding and documentation requirements


  • Experience managing high call volumes and multi-tasking in a remote environment
