Payroll Specialist
Summary
The Payroll Specialist supports the Payroll Manager in the accurate and timely processing of employee payroll. This role is responsible for handling day-to-day payroll operations, ensuring compliance with applicable laws, and maintaining accurate payroll records. The ideal candidate is detail-oriented, highly organized, and able to work collaboratively within a team environment.
Reporting Structure
- Reports directly to the Payroll Manager
- Works closely with HR, Finance, and other internal departments
Key Responsibilities
- Process payroll for employees on a regular schedule (weekly and biweekly) under the direction of the Payroll Manager
- Review and verify payroll data, including timekeeping, wages, bonuses, and deductions
- Maintain and update employee payroll records and ensure data accuracy
- Assist the Payroll Manager with payroll audits, reconciliations, and reporting
- Address and resolve payroll discrepancies and employee inquiries in a timely manner
- Support payroll tax filings and ensure compliance with federal, state, and local regulations
- Prepare payroll-related reports for internal stakeholders
- Assist with year-end processes, including W-2 and 1099 preparation
- Stay current on payroll laws, regulations, and best practices
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred)
- 2+ years of payroll processing experience
- Experience working in a team or supporting a payroll function under supervision
- Knowledge of payroll systems (e.g., ADP, Paychex, Workday, or similar)
- Strong understanding of payroll processes and compliance requirements
- Proficiency in Microsoft Excel
- Excellent attention to detail and organizational skills
- Strong communication and problem-solving abilities
- Ability to handle confidential information with discretion
