Hybrid Executive Assistant to Co-Founders of Consulting Firm, Chicago, IL

A rapidly growing consulting firm that has been in business for 5 years is looking for an Executive Assistant to support the Co-Founders. The company has offices in Chicago and NYC and has 20 employees. This is a new position. The role is hybrid: 4 days in office, Fridays remote. The culture is entrepreneurial and friendly. Dress code is business casual. The EA will also perform basic office manager duties.

About the Job:

Coordinate and prioritize meetings for the executives

Vet and prioritize the executives emails: flagging what needs attention, and helping execs stay responsive

Maintain busy calendars and prioritize on the executives behalf

Prepare materials for meetings: agendas, reminders, materials, notes, next steps

Own executive task tracking and follow-up, ensuring priorities, commitments, and deadlines are completed

Manage up on behalf of execs: keep team on track

Serve as the first point of contact for the executive office including client contact

Assist with preparation and coordination of leadership meetings, strategic planning sessions, and company initiatives

Help maintain CRM, contact databases, and client relationship information

Coordinate logistics for all-company events and outings as needed

Coordinate complex travel arrangements: including flights, hotels, transportation, agendas, and changes and create itineraries. Process expense reports

Make personal appointments and reservations and book personal travel and research vacation options

Office Manager duties: coordinate client gifting, order snacks/lunches for staff, order supplies for the office and be the point of contact with the building

Some off-hour availability required

About You:

Minimum of 6 years of experience supporting a c-level executive

BA/BS from a college or university

Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)

Comfortable managing up and keeping busy executives on track without being overbearing

Able to work independently without a lot of direction

Strong communication skills: written and verbal

Strategic thinker who remains calm when there are shifting priorities

Understand the importance of confidentiality and trust when supporting Founders

Polished, professional demeanor and the gravitas to interact with high-level executives

Outstanding communication skills
