Virtual Administrative Assistant Position Description (Data Specialist)

The More Than Giving Company is seeking experienced data-specialized, virtual administrative assistants to join our exclusive, top of the line, Nonprofit Virtual Assistant (NPVA) Service. Be part of an elite team that works with multiple high-performing nonprofits, learning about and contributing to their exceptional work, and helping them further their mission.

Our NPVAÃ â s are proactive, organized, and excellent project managers. Our clients look to our NPVAÃ â s for guidance and direction, as well as the ability to independently manage administrative operations.

We are seeking individuals to perform a variety of administrative tasks for nonprofit organizations, with a focus on data specific projects and clients. All activities will be performed virtually.

The data specific tasks include:
à ⠢ Data management, cleaning, defining categories
à ⠢ Updating and creating naming conventions based on data categories and fields and process documents
à ⠢ Managing data audits, repairing errors, implementing solutions
à ⠢ Updating data management and process documentation for various application integrations
à ⠢ Salesforce and other CRM integration improvements

The NPVA, Data Specialist should have familiarity with and proficiency in several of the following programs and platforms:
à ⠢ CRM and Donor Management Systems: Salesforce, DonorPerfect, Kindful, HubSpot, etc.
à ⠢ Data Management and Analysis Tools: Excel, Google Sheets, Airtable, etc.
à ⠢ Documentation and Collaboration Platforms: Asana, Dropbox, Google Workspace, etc.

The duties of the NPVA role also include the following skills:
à ⠢ Schedule and manage board meetings and committee meetings; record and distribute notes; attend monthly board meetings virtually
à ⠢ Maintain the organizationà â s master calendar
à ⠢ Manage and update organizationà â s contact database
à ⠢ Assist in donor engagement and in drafting solicitation letters
à ⠢ Manage and update donor/sponsor information
à ⠢ Provide administrative support to fundraising and special events
à ⠢ Maintain event registration
à ⠢ Assist in the development and execution of email campaigns
à ⠢ Manage email and process general correspondence
à ⠢ Manage social media platforms
à ⠢ Marketing Assistance
à ⠢ Assist in board engagement activities
à ⠢ Document management and records retention
à ⠢ Light bookkeeping
à ⠢ Project management
à ⠢ Provide webinar support

Professional Requirements: à ⠢ Applicants must have a minimum of 2 years as a virtual administrative assistant - no exceptions à ⠢ At least 3 yearsà â experience working with nonprofit organizations is a must - no exceptions à ⠢ Minimum 5 yearsà â experience as an Administrative/Executive Assistant is required - no exceptions à ⠢ College degree is preferred, some college or related certification is required à ⠢ Excellent time management and organizational skills à ⠢ Excellent written and oral communication skills à ⠢ Technically savvy à ⠢ Highly proficient in MS Office, MailChimp/Constant Contact, Dropbox, Google Suite, Zoom à ⠢ Proficient in Trello/Asana, Eventbrite, Calendly, LinkedIn, Facebook, Twitter, Instagram

Additional:
à ⠢ Must have reliable high-speed internet connection, computer hardware and software, reliable phone/headset
à ⠢ Must be based in the U.S.
à ⠢ Candidates will be asked to provide 3 references and two writing samples
à ⠢ Must agree to complete The More than Giving Co NPVA certification program
à ⠢ Must agree to a criminal background check
à ⠢ Hired contractors are required to have their own equipment and professional liability insurance
