Head of Intake (Remote — ABA Healthcare)




Schedule: Full-Time | Monday–Friday, 9:00 AM–6:00 PM (ET)



Location: 100% Remote



Language Requirement: Fluent in Spanish & English (Required)




About the Role

We are seeking an experienced Head of Intake to lead our admissions and client onboarding efforts for a fast-growing ABA healthcare organization. This role combines care coordination, leadership, and high-volume phone-based outreach.

The ideal candidate is comfortable spending most of the workday speaking with families, making outbound calls, and converting inquiries into active clients—while maintaining a compassionate, professional, and organized approach.

This is a results-driven leadership role, not a passive administrative position.



Key Responsibilities



  • Manage the full intake lifecycle from first inquiry to client start of services


  • Make and oversee high-volume outbound and inbound calls daily with prospective families


  • Proactively follow up with leads via phone, text, and email to ensure conversion


  • Convert inquiries into scheduled intakes and active clients


  • Communicate clearly and empathetically in Spanish and English


  • Lead and manage the intake team, including training, workflows, and accountability


  • Verify insurance eligibility and navigate authorization requirements


  • Coordinate with clinical, scheduling, and billing teams


  • Maintain accurate documentation in EMR/CRM systems


  • Track intake metrics, conversion rates, follow-up timelines, and call volume


  • Ensure an exceptional experience for families while driving timely admissions

Requirements

Required Qualifications



  • Fluent in Spanish and English (spoken and written) — REQUIRED


  • Prior experience in healthcare intake, admissions, or patient coordination


  • Comfort with high-volume outbound calling and lead conversion


  • Strong leadership, organization, and follow-up skills


  • Ability to work in a fast-paced, high-accountability environment


  • Proficiency with EMR/CRM systems, spreadsheets, and email platforms


  • Reliable internet connection and private remote workspace





Preferred Experience



  • ABA or behavioral health intake experience


  • Insurance verification and authorization processes


  • CRM or EMR platforms (CentralReach, Salesforce, etc.)


  • Supervisory or management experience in intake, admissions, or healthcare admin
