Facilities Project Coordinator

Allina Health is a not-for-profit health system that cares for individuals, families and communities throughout Minnesota and western Wisconsin. They are seeking a Facilities Project Coordinator to provide support to regional strategic partners and project managers during project completion, including coordination of purchase orders, documentation support, and communication with stakeholders.


Responsibilities

  • Provides project management support
  • Assists to draft applicable Requests for Proposal, contracts and other applicable documents and submit for approval
  • Provides reports (e.g., Financials, Risk Management, etc.)
  • Schedules meetings
  • Provides documentation support
  • Crafts and distributes communications to key stakeholders and partners
  • Assists with closeout activities
  • Issues purchase orders(PO)
  • Processes PO requests
  • Initiates Purchasing Agent Authorizations as needed
  • Corresponds with vendors and contractors
  • Documents activities in project management software
  • Processes Invoices
  • Organizes and reviews incoming invoices and applications for payment, ensuring that the correct project/PO is being charged and amounts are appropriate
  • Submits invoices to Project Manager for approval
  • Submits approved invoices to Accounts Payable
  • Works collaboratively with Project Manager, Accounts Payable and contractor/vendor to resolve payment and invoicing issues
  • Departmental operations, standardization and system support
  • Participates in developing and implementing standard contracts, policies, procedures and practices
  • Participates in system-wide initiatives
  • Maintains professional relationships with internal and external project delivery partners
  • Other duties as assigned

Skills

  • Must be 18 years of age with education and/or experience needed to meet required functional competencies as listed on the job description
  • Valid Driver's License required upon hire - MN and WI residents must obtain a valid driver's license in their state of residence within 60 days of employment
  • High school diploma or GED
  • Associate's or Vocational degree in Construction Management
  • Bachelor's degree in Construction Management
  • 0 to 2 years of construction project management or related experience
